Job Overview

We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers the opportunity to support daily office operations, streamline administrative processes, and enhance overall productivity. The ideal candidate will bring enthusiasm, excellent communication skills, and a proactive attitude to ensure our office runs smoothly and efficiently. Whether managing schedules, handling correspondence, or assisting with client interactions, you'll be at the heart of our operations, making a positive impact every day.

Responsibilities

Manage front desk duties including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette.
Maintain organized filing systems, including digital files using Google Workspace and spreadsheets for data entry and record keeping.
Assist with calendar management, scheduling appointments, meetings, and coordinating events to optimize team productivity.
Support office management tasks such as ordering supplies, maintaining office equipment, and overseeing general administrative functions.
Provide exceptional customer service by addressing client inquiries promptly via phone or email and supporting client communication efforts.
Handle bookkeeping responsibilities using QuickBooks or similar software to manage invoices, expenses, and financial records.
Perform clerical tasks including word processing, proofreading documents, preparing reports, and managing correspondence to ensure accuracy and professionalism.

Qualifications

Proven experience in an office environment with strong clerical skills and familiarity with office management procedures.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
Excellent organizational skills with the ability to multitask effectively in a fast-paced setting.
Strong computer literacy including data entry, spreadsheets creation, and technical proficiency with productivity software.
Exceptional communication skills both in person and via phone or email; bilingual abilities are a plus.
Experience with multi-line phone systems and front desk operations preferred.
Demonstrated ability to prioritize tasks efficiently while maintaining attention to detail and accuracy.
