- Position Summary
- Full-time position available on or after September 14, 2026 for Facilities Logistical Services.
  This position’s responsibilities are carried out under general supervision. The incumbent is responsible for providing clerical and administrative support functions for Facilities Services operations and performing administrative support duties of an operational and procedural nature. Responsibilities include maintaining office procedures and records, preparing correspondence and reports, supporting departmental communications and meetings, maintaining and compiling operational and administrative records and data, responding to routine inquiries, and providing administrative support for departmental activities and services. The position regularly interacts with campus personnel, vendors, contractors, and the public regarding departmental services and operational matters, and exercises judgment in organizing and completing routine work assignments and resolving standard operational issues.
- Job Duties
- Duties include but are not limited to:
  - Provide clerical and administrative support for Facilities Services operations and departmental activities.
  - Maintain office files, records, schedules, and related administrative documentation.
  - Schedule meetings, appointments, training activities, and travel arrangements as assigned.
  - Prepare and process routine procurement, reimbursement, and administrative forms and documents.
  - Receive and route Facilities service requests utilizing departmental office systems.
  - Maintain records related to departmental key issuance and return procedures.
  - Answer routine inquiries regarding departmental services and procedures and refer complex matters to appropriate staff.
  - Maintain departmental financial, personnel, training, and administrative records and files.
  - Enter, update, and track information in spreadsheets, databases, and office support systems.
  - Prepare routine reports and summaries using departmental data and records.
  - Process and maintain travel, procurement, and reimbursement documentation.
  - Maintain confidential records in accordance with university and departmental procedures.
  - Assist with organizing documentation for audits, reviews, and reporting purposes.
  - Track training and certification dates and maintain related records and files.
  - Review forms and documents for completeness and required information.
  - Prepare, format, and distribute departmental correspondence, reports, and informational materials.
  - Answer phones, greet visitors, and respond to routine inquiries from students, staff, vendors, and campus constituents.
  - Maintain departmental communication materials, mailing lists, and electronic files.
  - Update website content and departmental informational materials as directed.
  - Assist with preparing presentations, meeting materials, and departmental communications.
  - Provide clerical support for departmental meetings, committees, and special events.
  - Distribute procedural and departmental updates to staff and campus constituents as assigned.
  - Order and maintain office supplies and assist with general office support activities.
  - May be required to obtain additional training and/or certification as part of professional development, based on department and/or campus needs, to stay current with industry standards.
  - At the direction of appropriate administrator, may provide support to other areas as needed.
  - The omission of specific statements of duties does not exclude them from the position if the work is similar, related or a logical assignment to this classification.

- Minimum Qualifications
- Education & Experience: Completions of a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.
- Preferred Qualifications
- - Two (2) years of related experience.
  - Bachelor’s degree in Business Administration, English, Public Administration.
  - Prior experience in a CSU or higher education setting.
  - Experience providing administrative support within Facilities, maintenance, operations, construction, or service-related environments.
  - Experience preparing and distributing departmental communications, reports, schedules, presentations, or informational materials.
  - Experience responding to routine inquiries and working with staff, vendors, contractors, and campus constituents in a customer service environment.
  - Experience maintaining departmental records, electronic files, website content, mailing lists, or communication materials.
  - Experience supporting departmental meetings, training activities, committees, or special events using standard office software and office technology.
- Knowledge, Skills, Abilities
- - Experience to be fully functional in all technical aspects of work assignments.
  - Ability to understand and operate in a variety of organizational structures.
  - Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures.
  - Thorough knowledge of English grammar, punctuation, and spelling. Ability to clearly communicate orally and in writing.
  - Ability to use and quickly learn new office support technology systems and software packages.
  - Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages.
  - Ability to independently handle multiple work unit priorities and projects.
  - Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist.
  - Working knowledge of budget policies and procedures.
  - Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections.
  - Ability to draft and compose correspondence and standard reports.
  - Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.

- Salary Range
- Anticipated starting salary will be $4,047 (step 1) per month plus excellent paid benefits. Future increases, including step advancement, are subject to contract negotiations. Full range Salary will depend on the qualifications of the successful finalist. Full $4,047 (step 1) – $5,896 (step 20) per month.
