Overview

We are seeking an energetic and organized Front Desk Receptionist to be the welcoming face of our office. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily activities. Your positive attitude and professional demeanor will help create a warm, efficient environment for clients, visitors, and team members alike. Responsibilities

Greet visitors and clients warmly, ensuring a positive first impression of the organization
Answer multi-line phone systems promptly and professionally, directing calls efficiently
Manage appointment scheduling and coordinate meetings using productivity software and calendars
Handle data entry tasks accurately using spreadsheets, word processing, and other office productivity tools
Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents
Support office management tasks such as ordering supplies, managing mail, and maintaining cleanliness of the reception area
Assist with clerical duties including proofreading documents, preparing correspondence, and updating client records
Provide customer support by addressing inquiries with professionalism and courtesy
Utilize computer skills to perform various administrative functions with high efficiency

Skills

Strong proficiency in Microsoft Office suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry
Experience with office management tasks including filing, scheduling, and document preparation
Excellent phone etiquette with experience handling multi-line phone systems and client communication
Bilingual abilities are a plus to serve diverse client needs effectively
Demonstrated organizational skills with the ability to prioritize tasks and manage time efficiently
Technical proficiency in computer literacy, including familiarity with productivity software and data management tools
Previous clerical or front desk experience in an office environment is highly desirable
Strong customer service skills with a friendly attitude and professional appearance
Ability to perform typing quickly and accurately while proofreading documents for errors
Knowledge of QuickBooks accounting software is a bonus for handling basic financial tasks
