Spherion WI & Northern IL is hiring a Recruiting Coordinator to support our Madison office. This is a great opportunity for someone who enjoys working with people, staying organized, and helping candidates move through the hiring process while also playing an important role in keeping a busy office running smoothly.

As Recruiting Coordinator, you'll support our recruiting team with candidate onboarding, payroll, job postings, candidate communication, and a variety of administrative responsibilities. You'll be one of the first people candidates, employees, and clients interact with, creating a positive experience while helping our team connect great people with great opportunities.

This is a full-time position based in our Madison office. Our office hours are 8:00 AM – 5:00 PM Monday through Thursday and 8:00 AM – 4:00 PM on Friday. Because recruiting is highly collaborative and relationship-driven, in this role you will work primarily from the office, with the flexibility to work remotely up to two days per month.

What you’ll do

Serve as the first point of contact for candidates, employees, clients, and visitors, creating a welcoming and professional experience
Manage incoming phone calls and connect candidates, employees, and clients with the appropriate team members
Assist candidates through the application, interview, onboarding, and hiring process
Coordinate background checks, start details, and other pre-employment activities
Create, update, and manage job postings while supporting other candidate attraction efforts, including referrals, outreach, and community-based recruiting
Maintain accurate candidate and employee records within our systems
Assist with processing weekly payroll accurately and on time
Help organize employee appreciation activities, office events, and other team initiatives
Assist with ordering office supplies, stocking break room and office materials, and coordinating office needs
Provide general administrative support to the recruiting and leadership teams
Deliver exceptional service to candidates, employees, clients, and coworkers
Uphold organizational values in all communication and activity

What we’re looking for

Bachelor’s degree preferred; equivalent experience may be considered
Previous internship, part-time, or full-time experience in recruiting, human resources, customer service, administrative support, hospitality, or a related field is a plus
Strong communication skills and comfort speaking with candidates by phone, email, and text
Highly organized with the ability to manage multiple priorities and maintain strong follow-through
Comfort using technology and learning new systems
Positive attitude with a willingness to jump in and help wherever needed
Professional, dependable, and service-oriented
Authorization to work in the United States without sponsorship
