About the Position
Patent Portfolio Builders, an Intellectual Property law firm based in Fredericksburg, VA, seeks an experienced Patent Legal Assistant to join our team. This is a fully remote position; we operate as a virtual office and prefer candidates in the Eastern time zone.
We are a small firm of 15, and we are looking for someone who thrives in a support role and is comfortable wearing multiple hats. Candidates should have a minimum of 4–7 years of patent prosecution experience. Please send your resume via email to [email protected].
Job Duties
The new employee will work closely with the IP Administrator, Patent Attorneys, and other support staff. Primary responsibilities include:
- Manage Attorney docket. Which includes US Applications/Prosecution, PCT Applications/Prosecution and Foreign Applications/Prosecution.
- Prepare and file various papers electronically with the United States Patent & Trademark Office (USPTO), including new applications and all prosecution work: Assignments, Declarations, IDS, Amendments, Restrictions, Terminal Disclaimers, Notices of Appeal, Appeal Briefs, Issue Fees, and more.
- Prepare and report filings and invoices to clients.
- Assist with docketing, including tracking deadlines and maintaining the patent docket system.
- Handle U.S. and PCT filings as the primary focus, with some foreign filing work as needed.

- Ability to manage assignments from inception to completion, working independently or under attorney supervision.
- Ability to work concurrently on a variety of projects and perform effectively under pressure when needed.
- Strong analytical and information-gathering skills, with the ability to evaluate and prioritize tasks and data.
- Strong written and verbal communication skills.
Required Skills & Software
- Proficiency with general office software: MS Word, MS Outlook, MS Excel, and PDF software.
- Proficient typing skills required; accurate and efficient keyboarding is essential for this role.
- Experience with USPTO electronic filing systems (Patent Center / EFS-Web) strongly preferred.
- Experience with EPCT and Espacenet
- Experience with Appcoll is a plus
- Familiarity with databases and data entry is a plus.
- Ability to format documents properly and maintain consistent document standards.
