Company Background: With a history of 35+ years of providing quality property management service to the Missoula area, ADEA Property Management continues to expand services in the Missoula valley. Our strongest concentration is residential, multi-family apartments, HOA's, mobile home court property management as well as providing services to commercial properties. We oversee 3,000 units in the greater Missoula area and use industry leading technology to provide efficient, detailed and accurate services to our customers. We strive to customize our services to meet the needs of each individual client and provide an engaging and dynamic work environment for our employees. It is our goal to cultivate long-term relationships, both with property owners, our valued residents, vendor partners and our employees, who are the lifeblood of our company.

We are seeking a high-level HOA Community Association Manager to take full ownership of a dedicated portfolio of homeowner associations. In this role, you are the face of the company for your boards and residents. You will act as a consultant, project manager, and mediator, ensuring each community thrives through proactive maintenance, sound financial planning, and clear communication.

This is not a desk-only job; it is a leadership role for a professional who thrives on variety, problem-solving, and driving results for the communities they serve.

Key Responsibilities

Portfolio Leadership & Board Relations

Primary Liaison: Act as the main point of contact for Board Members and homeowners, providing expert guidance on governing documents.
Meeting Leadership: Prepare for, attend, and facilitate Board Meetings and Annual Meetings (including occasional evening sessions).
Governance: Interpret and enforce CC&Rs, Bylaws, and Rules and Regulations consistently and fairly.

Financial & Strategic Planning

Budget Development: Lead the annual budget process for each association in your portfolio.
Financial Oversight: Review monthly financial statements and collaborate with accounting to ensure fiscal accuracy.
Reserve Studies: Coordinate long-term reserve planning to ensure the future health of community infrastructure.

Operations & Vendor Management

Project Oversight: Identify maintenance needs, solicit competitive bids, and oversee contractors for capital projects.
Site Inspections: Conduct regular property walkthroughs to ensure compliance, safety, and aesthetic standards.
Risk Management: Ensure all associations maintain proper insurance coverage and meet statutory requirements.

What We Are Looking For

Financial Literacy: The ability to read a balance sheet and explain a budget to a non-financial board member.
Conflict Resolution: High emotional intelligence and the ability to de-escalate tension between neighbors or boards.
Service Diplomacy: A service-first mindset; the ability to deliver firm information with empathy and professional grace.
Operational Autonomy: A true self-starter who thrives when working independently; you are comfortable owning your schedule and making decisions with little to no supervision.
Project Management: Excellent at juggling multiple vendors, timelines, and budgets simultaneously.

Technical Skills & Qualifications

Experience: 3+ years of professional management experience. This may include direct HOA or Property Management, or transferable leadership roles in Real Estate, Program Management, HR Management, or Construction.
Certifications: Montana Real Estate Sales License, CMCA, and/or AMS designations are highly preferred.
Software: Proficiency in Microsoft Office/Google Workspace; experience with property software (AppFolio, Cinc, Buildium) and AI tools is a plus.
Mobility: Must have a valid driver’s license and a reliable vehicle for property site visits.

Compensation & Benefits

Salary: Starting at $60,000 (DOE).
