Full Job Description

About the Role

Tactical Advantage Group (TAG) is a leading healthcare communications and meeting logistics company specializing in promotional services for the pharmaceutical industry.

We are seeking an organized, client-focused Project Manager to lead the planning and execution of pharmaceutical medical education programs.

This position manages assigned programs across live, virtual, and hybrid formats. The Project Manager will coordinate timelines, budgets, speaker and attendee logistics, client communications, compliance documentation, and cross-functional deliverables to ensure programs are delivered accurately, on time, and within scope.

The ideal candidate has at least two years of relevant experience in project management, medical education, event planning, healthcare, pharmaceutical programming, or another fast-paced client-service environment involving complex logistics and multiple simultaneous deadlines.

What You Will Do

Program Management & Client Support

Manage assigned pharmaceutical and medical education programs from initial planning through final reconciliation and closeout.
Maintain program timelines, status reports, task lists, and key deliverables.
Serve as a day-to-day client contact for program logistics, updates, and issue resolution.
Participate in client update calls and communicate progress, risks, and next steps clearly.
Ensure program-related questions, changes, and urgent issues are addressed promptly and professionally.

Speaker, HCP & Attendee Coordination

Coordinate speaker contracting, disclosures, W-9s, bios, headshots, honoraria, and other required documentation.
Arrange speaker and attendee travel, hotel accommodations, ground transportation, and itineraries.
Manage invitations, confirmations, reminders, and other program-related communications.
Ensure stakeholders receive accurate and timely event details and materials.

Event Logistics & Program Execution

Source venues and coordinate meeting space, food and beverage, audiovisual requirements, and event setup.
Partner with vendors and internal teams to ensure programs meet client expectations and quality standards.
Support live, virtual, and hybrid program execution, including troubleshooting logistical or technology-related issues.
Coordinate program details with vendors, speakers, clients, and internal stakeholders to ensure a seamless attendee experience.

Financial & Compliance Administration

Develop and manage assigned program budgets.
Track expenses, process approvals, reconcile invoices and receipts, and resolve discrepancies promptly.
Support documentation and reporting requirements related to PhRMA, Sunshine Act, and other applicable compliance standards.
Maintain complete, accurate, and audit-ready program records.

Team Collaboration & Process Improvement

Work closely with internal logistics, creative, IT, finance, and program management teams.
Provide task-level direction and support to Associate Project Managers when assigned.
Escalate program risks or challenges to the Senior Project Manager or Program Director when appropriate.
Contribute ideas, templates, tools, and workflow improvements that strengthen team efficiency and consistency.

What Success Looks Like

Programs are delivered on time, within scope, and with strong attention to detail.
Client communication is responsive, professional, and accurate.
Budgets, invoices, and reconciliations are managed with minimal variance or delay.
Compliance documentation is complete, organized, and submitted on time.
Internal partners, speakers, attendees, vendors, and clients receive a high-quality program experience.
Urgent program-related calls, emails, and logistical issues are addressed appropriately and escalated when needed.

Qualification Requirements

Minimum of 2 years of relevant experience in project management, program coordination, event planning, medical education, pharmaceutical programs, healthcare meetings, hospitality, or a similar client-service environment.
Experience managing multiple priorities, deadlines, stakeholders, and detailed logistics simultaneously.
Strong organizational, time-management, multitasking, and problem-solving skills.
Excellent written and verbal communication skills.
Professional client-service mindset and ability to remain calm and solution-focused under pressure.
Proficiency with Microsoft Office, including Outlook, Excel, Word, and PowerPoint.
Ability to provide occasional responsive support outside regular business hours for urgent client, speaker, or program-related calls and emails.
