Full Job Description

Position Summary

We are seeking a proactive and detail-oriented Administrative Assistant / HR Assistant to support daily office operations and human resources functions. This role serves as a key point of coordination across departments, ensuring efficient administrative support while assisting with HR processes and payroll preparation.

Key Responsibilities

Administrative Support

Provide day-to-day administrative support to management and various departments.

Coordinate and facilitate communication among different departments to ensure smooth daily operations.

Assist with preparing, organizing, and maintaining company records, documents, and filing systems.

Manage office supplies, equipment, and vendor coordination.

Schedule meetings, prepare meeting materials, and assist with office event coordination.

Handle incoming mail, packages, and general office correspondence.

Assist with document collection, data entry, and administrative support for company projects.

Support cross-functional teams with operational and administrative tasks as needed.

Maintain a clean, organized, and efficient office environment.

Human Resources Support

Assist with recruitment activities, including posting job openings, scheduling interviews, and communicating with candidates.

Coordinate new hire onboarding and employee offboarding processes.

Maintain accurate employee personnel files and HR documentation.

Track employee attendance, paid time off (PTO), and personnel records.

Collect, review, and maintain hourly employees' timesheets to support payroll processing and ensure accurate payroll records.

Coordinate with the payroll team to verify employee hours, new hire information, and payroll-related documentation.

Assist with employee benefits enrollment and HR administrative tasks.

Support employee communications, company events, and other HR initiatives.

Maintain confidentiality of employee information and HR records.

Qualifications

Associate's or Bachelor's degree preferred.

1–3 years of experience in administrative support, HR, or a related role.

Strong organizational and multitasking skills with excellent attention to detail.

Excellent verbal and written communication skills.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

Experience with HRIS, payroll systems, or timekeeping systems is a plus.

Ability to work independently and collaborate effectively with multiple departments.

Ability to handle confidential information with discretion.

Preferred Qualifications

Knowledge of basic HR practices and employment regulations.

Experience supporting payroll preparation for hourly employees.

Strong customer service and interpersonal skills.

Bilingual in English and Chinese is a plus.

Pay: $24.67 - $29.71 per hour
