Studio Office Manager / Administrative Manager

Momentum Dance Company is seeking a highly organized, professional, energetic Studio Office Manager to oversee the day-to-day administrative operations of our busy and growing dance studio in downtown Santa Barbara.

This is a key position within our studio and an excellent opportunity for someone who thrives in a fast-paced environment, enjoys working with families and children, and takes pride in keeping an organization running smoothly behind the scenes.

Our ideal candidate is warm and welcoming, but also confident, self-motivated, highly organized, and comfortable taking ownership of their responsibilities. We are looking for someone who can see what needs to be done and handle it without requiring constant direction or supervision.

Responsibilities

Responsibilities include, but are not limited to:

Managing the studio's front desk and daily office operations
Answering and returning phone calls, emails, and parent inquiries promptly and professionally
Serving as a friendly and knowledgeable first point of contact for current and prospective families
Assisting families with registration, class schedules, tuition questions, policies, and general studio information
Managing enrollment, waitlists, attendance, and student account information
Maintaining organized and accurate studio records
Communicating important information to families and faculty
Maintaining calendars, schedules, spreadsheets, Google Drive files, and internal systems
Maintaining an organized, professional, and welcoming front office and lobby
Identifying administrative needs and following through on projects independently
Providing additional administrative and operational support to the Studio Director as needed

Studio Operations & Facility Upkeep

Overseeing the general day-to-day organization and upkeep of the studio facility
Monitoring inventory of studio and office supplies, including paper products, cleaning supplies, first-aid items, office supplies, and other everyday necessities
Proactively identifying when supplies are running low and ordering or purchasing replacements before they run out
Keeping restrooms, lobby, front desk, staff areas, and common spaces stocked, organized, and presentable
Coordinating with cleaning staff and communicating any cleaning, maintenance, or facility concerns
Identifying maintenance issues or repairs and ensuring they are communicated and addressed promptly
Receiving, organizing, and distributing deliveries and studio orders
Purchasing or picking up supplies locally when needed
Keeping storage areas, supply closets, front-office materials, and administrative spaces organized
Helping maintain signage, forms, informational materials, and other items used throughout the studio
Anticipating the operational needs of upcoming camps, events, performances, auditions, and busy studio periods
Taking ownership of the small day-to-day details that keep the studio clean, stocked, organized, professional, and running smoothly

This position requires someone who notices what needs to be done and takes initiative to handle it. We are looking for someone who doesn't need to be reminded that supplies are running low, something needs to be organized, or a task needs follow-up.

Qualifications

Strong administrative and customer-service experience
Excellent written and verbal communication skills
Advanced organization and time-management skills
Proficiency with Google Drive, Google Docs, Google Sheets, email, calendars, and general office technology
Comfortable learning studio-management and registration software
Professional phone and email etiquette
Ability to maintain confidentiality and appropriate professional boundaries
Previous office management, administrative management, customer service, youth-program, fitness, performing arts, or studio experience is a plus

Schedule

This is an in-person position at our downtown Santa Barbara studio, Monday through Friday.

Typical working hours will fall within the 10:00 AM–7:00 PM timeframe, with the exact schedule established based on the needs of the studio. Occasional additional hours may be needed during performances, competitions, auditions, camps, or other major studio events.
