The Benefits Administrator is responsible for the administration, governance, and continuous improvement of the Company’s health and welfare programs, with primary responsibility for the self-funded medical and dental insurance, vision, life, disability, voluntary benefit plans, and wellness initiatives. This role ensures operational accuracy, compliance, and high-quality employee experience by partnering closely with the PBC Health & Wellness Center, Third- Party Administrators (TPAs) and other vendors.

Essential Duties & Responsibilities:
Health & Welfare Benefits Administration
- Administer day-to-day operations of health and welfare programs, including the self-funded medical plan, dental, vision, life, disability, voluntary benefits, and COBRA coverage.
- Manage employee eligibility, enrollments, and changes with a high degree of accuracy.
- Reconcile and monitor data across HRIS, payroll, and provider systems to ensure alignment.
- Serve as a primary point of contact for employee inquiries and issue resolution.
- Support annual Health Fair activities, employee communications, and education programs.
- Support PBC Health & Wellness Center daily operations, including staff assistance and ownership of utilization tracking.
Self-Funded Plan Oversight & TPA Management
- Act as the primary liaison with the TPA, vendors, and consultants for all aspects of self-funded medical plan administration, including claims processing and billing.
- Review medical and pharmacy claims reports, eligibility records, and billing data to identify discrepancies and trends and drive resolution with internal and external stakeholders.

Assist in monitoring plan performance, utilization patterns, and cost-containment opportunities.
- Support dependent verification activities, stop-loss reporting requirements, and claim issue resolution.
- Participate in vendor meetings and assist with implementation of plan enhancements.
- Partner with Finance and Human Resources to provide benefits-related reporting and metrics as needed.
HRIS Implementation & Process Improvement
- Support and maintain benefits data integrity within the HRIS.
- Support carrier feed testing, system upgrades, implementations, and troubleshooting activities.
- Identify opportunities to streamline processes, improve employee experience, and enhance administrative efficiency.
- Develop and maintain standard operating procedures and benefits documentation.
Compliance & Reporting
- Assist with compliance requirements including ERISA, HIPAA, ACA, COBRA, Section 125, and other applicable regulations.
- Support preparation and maintenance of compliance documentation and employee notices.
- Participate in benefits audits and regulatory reporting activities, including Form 5500 support.
- Help maintain internal controls, procedures, and documentation related to benefits administration.
Employee Experience & Communication
- Develop clear, effective communications and educational materials about health benefits.
- Resolve escalated or complex benefits issues with empathy and efficiency.
- Serve as advocate for PBC Health & Wellness center, promoting services and programs to drive utilization.
- Organize and lead annual Health Fair and Open Enrollment with support from TPA, HR, and benefit vendors.
Required Skills:
- 2-3 years of experience in benefits or related administrator role.
- Working knowledge of self-funded medical plans and related benefit regulations.
- Strong attention to detail, problem-solving, and organizational skills.
- Proficiency in Excel and ability to work with data.
- High-level customer service and communication skills.
- Familiarity with basic Medicare and compliance regulations (ACA, HIPAA, COBRA, ERISA, etc.)
- Bachelor's degree in Human Resources, Business Administration, Finance, or related field; or equivalent combination of education and experience.
Desired Skills:
- Experience using HRIS or benefits administration system.
- Familiarity with claims processing.
- Industry (Hospitality, Golf, or Luxury Travel) experience a plus.
