Full Job Description

The Compliance Coordinator will assist the Director of Compliance and the HR/Safety Manager to ensure that the organization’s operations, facilities, equipment, policies, procedures and business initiatives are compliant with the rules and regulations of regulatory agencies (Ex. Cal/OSHA, FLC, DOT, etc.). The Compliance Coordinator will help establish, review, analyze, provide risk assessments, enforce and mitigate compliance related policies, procedures, issues or concerns; in order to protect the organization’s workers and assets, and to reduce liability exposure.

· Manage the day-to-day SmartDrive program activities, which include:

o Coordinate the installation of SmartDrive in commercial and non-commercial vehicles

o Conduct SmartDrive orientations for new drivers

o Monitor SmartDrive driver performance (ex. Good and bad driving performance, violations, irregular maneuvers, poor driving habits, etc.)

o Utilize SmartDrive to prepare concise and accurate reports depicting driver performances

Coach drivers who have had SmartDrive driving violations on a one-on-one basis
Identify and notify Legal and HR Departments when a driver needs safety training

o Review, audit, and troubleshoot SmartDrive software, data and hardware issues

o Sending weekly reports to management for each entity regarding driver safety performance

· Utilize SmartDrive to assist with the investigation of auto accidents and/or any resulting injuries

Assist with maintaining and auditing the company’s Commercial (DOT) and Non-Commercial Driver Fleet Safety activities, which include:
Assist in reviewing / auditing the onboarding of new DOT drivers for compliance
Maintaining DOT Driver Qualification files, driver records, etc.
Maintain and organize confidential driver files and records
Maintain various fleet schedules/lists (ex. authorized drivers, assigned vehicle lists, registration, licensing,)

o Manage the company’s DMV Employer Pull Notice program

o Ensure all vehicle inspections are completed in a timely manner; are in compliance with all federal and state regulations; are in compliance with DOT/FMCSA laws; and are filed away properly

o Assist with managing the DOT Drug and Alcohol Consortium

· Assist with scheduling vehicle and equipment maintenance and repairs, fuel cards, permits, etc.

· Assist in updating the Master Auto and Equipment Schedules, ensuring current registration, insurance, etc.

· Assist with auditing and the organization/recordkeeping of compliance related documentation

· Assist with implementing, maintaining, auditing and promoting the company’s compliance related programs (ex. IIPP, HIPP, pesticide safety, forklift safety, etc.)

· Assist with internal and outside enforcement inspections (Local, State and Federal agencies)

· Assist with coordinating, tracking and auditing safety trainings

· Assist with implementing and enforcing compliance of Federal, State, Local and company policies (Ex. Cal/OSHA, FLC, MSPA, EPA, DPR, DOT, CARB, etc.).

· Assist in approving vendor invoices and ordering safety materials and/or supplies

· Assist the Director of Compliance and HR/Safety Manager with miscellaneous tasks as needed

· Minimum of two years’ experience in a safety, HR, compliance or a related field; including auditing and training experience

· Bachelor’s degree in a related field preferred but not required

· Knowledge of Federal, State and Local regulations related to safety compliance

· Must be bilingual in English and Spanish

· Knowledge of basic vehicle / equipment maintenance and troubleshooting a plus

· Strong interpersonal and communication skills

· Must be able to work independently

· Computer literate, including Microsoft Office software

· Clean driving record

Pay: $25.00 - $35.00 per hour
