Full Job Description

Inventory Specialist

Department: Operations / Warehouse

Reports To: COO

Role Type: Full-Time

Location: Manufacturing & Warehouse Environment (Multi-site support)

Position Summary

The Inventory Manager is responsible for executing and maintaining accurate inventory control across warehouse and production operations. This role serves as the primary point ofaccountability for inventory transactions (excluding receiving), lot tracking, inventory status control, and audit support.

The Inventory Manager works closely with Warehouse, Production, Quality, Finance, andOperations teams to ensure real-time inventory accuracy, support production workflows, and maintain compliance with internal procedures. This position also supports external warehouse inventory, co-packing inventory counts, and annual inventory audits.

Key Responsibilities

Inventory Control & Transactions

Execute daily inventory transactions, including adjustments related to production,milling, bagging, and re-pack activities.
Maintain accurate inventory quantities, lot numbers, and status across all systems.
Perform and reconcile cycle inventory counts.
Support accurate bulk-to-fractioned inventory adjustments.
Maintain and update milling lists to support production planning.
Ensure inventory adjustments are properly reviewed, implemented, and documented.

Production & Operations Support

Coordinate inventory activities in support of warehouse and production operations.
Gather bagging and milling information and apply corresponding system updates.
Assist with preparation of production and inventory reports.
Support accurate inventory levels for internal warehouses, external warehouses,

HERBCO Ames, and Amazon.

Audits & Reporting Serve as the point person for inventory audits, including the annual inventory audit.

Support internal and external audit requests related to inventory.
Maintain audit-ready inventory records and documentation.

Order & Special Inventory Management

Manage WILL CALL orders by updating order status to “READY TO INVOICE” on the day of pickup.
Conduct weekly co-packing inventory counts and reconcile discrepancies.
Maintain accurate inventory records for all third-party and co-packed product.

Systems & Data Management

Execute and monitor inventory transactions in Great Plains (GP), SalesPad, and SharePoint.
Maintain system accuracy and support basic inventory system maintenance.
Work across multiple systems simultaneously to ensure alignment and data integrity.

Qualifications & Requirements

Education & Experience

B.A. in General Business, Business Administration, Economics or equivalent preferred.
Additional education or training in operations, supply chain, or logistics preferred.
Minimum of 3 years of experience in inventory management, warehouse operations, or production support.
Experience in manufacturing or regulated environments preferred.

Technical & Systems Skills

Proficiency in Microsoft Office / Microsoft 365 (Excel required).
Experience with Microsoft Great Plains (GP) inventory transactions.
Working knowledge of SharePoint.
Experience with SalesPad preferred.
Ability to learn and operate multiple systems concurrently.

Inventory & Operations Knowledge

Strong understanding of inventory control principles, including cycle counting and lot tracking.
Experience managing inventory in multiple statuses (released, quarantined, reconditioning).
Familiarity with production-related inventory workflows.

Communication & Professional Skills

Strong written and verbal communication skills.
Ability to communicate effectively with cross-functional teams.
English and Spanish proficiency required.
Strong organizational, time-management, and problem-solving skills.
Reliable, punctual, and detail-oriented with a strong sense of accountability.
Ability to work independently and collaboratively in a fast-paced environment.

Physical Requirements

Ability to occasionally lift and move items up to 23 kg (50 lbs).
Ability to work in warehouse and production environments.
