Position Summary
We are seeking an experienced and motivated **Lead Customer Service Representative (CSR)** to join our fantastic team, oversee front-office operations and provide exceptional service to our clients and patients. This role combines hands-on client service with leadership responsibilities, ensuring smooth daily operations, team support, and a consistently positive client experience.
The ideal candidate is a strong communicator, highly organized, customer-focused, and experienced in veterinary or medical office settings.
Key Responsibilities
Client Service & Front Desk Operations
* Greet clients and patients warmly and professionally.
* Manage appointment scheduling, confirmations, and follow-up communications.
* Answer incoming calls, emails, and client inquiries promptly and accurately.
* Facilitate patient check-in and check-out procedures.
* Process payments and maintain accurate financial records.
* Ensure client concerns are addressed with empathy and professionalism.
Team Leadership
* Lead, mentor, and support the CSR team.
* Assist with onboarding and training new front-office staff.
* Monitor workflow and delegate responsibilities to ensure efficient operations.
* Promote a positive, collaborative, and customer-focused workplace culture.
* Serve as a resource for staff regarding client service issues and office procedures.
Administrative Responsibilities
* Maintain accurate patient and client records.
* Provide clients information and guidance regarding payment options including CareCredit and Cherry.
* Coordinate communication between clients, veterinarians, and technical staff.
* Assist with inventory ordering and office supply management.
* Ensure compliance with clinic policies and procedures.
* Support practice management initiatives and process improvements.
Qualifications
Required
* Minimum 3 years of customer service experience, preferably in a veterinary or healthcare environment.
* Willingness to receive feedback, learn and respect team members.
* Strong verbal and written communication skills.
* Excellent organizational and multitasking abilities.
* Proficiency with computer systems and practice management software.
* Ability to remain calm and professional in a fast-paced environment.
* Knowledge of veterinary terminology and medical records.
Preferred
* Experience in a specialty veterinary practice.
* Familiarity with veterinary practice management software (e.g., Instinct, Avimark, Cornerstone, ezyVet, or similar).
