SYNOPSIS
Provides high-level administrative support to the Human Resources Division in support of the Institute’s external customers, internal staff, and appropriate divisions. This position requires a high level of professionalism and the ability to work with limited direct supervision. This position reports to the Human Resources Manager.
DUTIES AND RESPONSIBILITIES:
Administrative:
- Performs administrative work including, but not limited to, filing, typing, processing, proofreading, editing, copying, categorizing, and filing documents in support of the HR Division.
- Coordinates HR documents between HR, the Business Office, and Payroll.
- Transports documents to the Department of Commerce for coordination and signatures.
- Assists, when necessary, in providing temporary back-up support to the Receptionist.
- Assists HR Manager and HR Assistant Manager with processing background checks and employment verifications for all new employees, part-time and full-time.
- Maintains a positive attitude when communicating with AIDT staff and the general public.
Selection Committee:
- Creates and maintains folders for all new positions from start to finish.
- Creates Selection Committee packets for all committee members when necessary. Coordinates the return of all documents required in folders for filing once committees have ended.
- Ensures all Selection Committee Appointment Forms are coordinated and completed.
- Serves as a Selection Committee member, as needed.
- Coordinates, prepares, disseminates, and tracks all new employee packets mailed to new employees.
- Develops, coordinates, and provides spreadsheet updates weekly on the AIDT Selection Committee status and provides the listing to the HR Assistant Manager and HR Manager.
Special Projects:
- Assists the HR Manager and HR Assistant Manager with all other personnel & human resources related functions and activities as needed.
- Accepts and manages the development and implementation of special projects and other work-related duties and responsibilities as assigned.

- Complies with all policies and procedures as set out in the AIDT Policy Manual.
- Maintains a professional appearance and attitude at all times.
- Plans daily/weekly work schedule.
- Maintains housekeeping to organizational standards.
- Interacts professionally with co-workers, the general public, and others at all time.
- Complies with AIDT policy regarding attendance. (Regular and predictable attendance is an essential function of the job.)
Required Knowledge, Skills and Abilities:
- Knowledge of generally accepted office practices and processes, including filing.
- Skilled in reading, writing, spelling, punctuating, and editing of work.
- Ability to understand and follow directions received from a diverse technical and management staff.
- Ability to learn internal AIDT processes and job specific systems.
- Ability to function in an automated work environment using computer systems, copiers, electronic mail, and telephone systems. Macintosh computer experience preferred; hands-on computer experience required.
- Ability to communicate effectively verbally and in writing.
- Ability to work independently without supervision.
- Ability to interact professional with company representatives, public officials, trainees, coworkers, and the general public.
- Ability to meet deadlines and handle multiple administrative functions concurrently.
- Ability to maintain confidentiality and handle sensitive information.
- Ability to work in a constant state of awareness.
- Ability to function in a team-based environment.
Required Minimum Qualifications:
Minimum high school diploma or GED certificate and two years additional college training in appropriate area of specialization; or three years work experience in appropriate area of
specialization.
Salary and General:
Initial placement will be based on experience and education applicable to the E3 salary schedule, within a range of $45,929 – $62,613. Paid monthly. Excellent benefits package included.
Criminal Background Check:
The applicant chosen for employment will be required to sign a Criminal Background Check consent form and to submit a nonrefundable $29.67 payment for the cost of the criminal background check. (Note: $29.67 fee is based on possession of an Alabama Driver’s License. The fee for the background check may be more or less if the driver’s license is not an Alabama license.) Permanent employment will be contingent upon the results of the criminal background check.
