Position Summary
Warren Averett Technology Group is seeking a highly organized, detail-oriented, and proactive Administrative & Sales Assistant to support our Business Development and Sales teams. This role serves as a key coordinator for sales operations, lead management, event logistics, travel planning, and administrative support. The ideal candidate thrives in a fast-paced environment, enjoys working with people, and excels at keeping projects, schedules, and customer information organized.
This position plays a critical role in helping the Technology Group develop new business opportunities, maintain strong client and vendor relationships, and execute successful marketing and networking events.

Responsibilities

Sales & Business Development Support

Research and identify prospective clients and business development opportunities.
Enter, maintain, and update prospect, client, and activity information within HubSpot CRM.
Monitor and track sales leads and business development opportunities.
Coordinate follow-up activities with prospects and existing contacts.
Assist with pipeline reporting, contact management, and CRM data accuracy.
Support sales initiatives and business development campaigns.

Event & Conference Coordination

Assist with planning and executing industry conferences, trade shows, vendor events, and networking functions.
Coordinate conference registration, travel arrangements, and event logistics.
Manage exhibit booth preparation, including:
Booth setup and materials coordination
Marketing collateral preparation
Name tags and attendee materials
Shipment and return of event supplies
Serve as an on-site support resource at select conferences and events.
Attend local business development and networking events as needed.

Administrative Support

Manage calendars and schedules for business development and sales leadership.
Coordinate meetings, including vendor meetings and internal planning sessions.
Book travel arrangements, including airfare, hotels, transportation, and itineraries.
Prepare and process expense reports and expense entries.
Track action items and assist with project coordination.
Maintain organized records, documents, and sales materials.

Vendor & Relationship Management

Assist with vendor communications and event coordination.
Support the planning and execution of vendor-sponsored events.
Coordinate meeting logistics for vendors, partners, and prospective clients.

Required Skills & Experience

2+ years of administrative, sales support, business development support, or event coordination experience.
Strong organizational and multitasking skills.
Excellent verbal and written communication abilities.
Experience using CRM systems; HubSpot experience preferred.
Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
Strong attention to detail and follow-through.
Ability to work independently while supporting multiple team members.

Preferred Qualifications

Experience supporting a technology, professional services, consulting, or business development team.
Experience coordinating trade shows, conferences, or marketing events.
Familiarity with expense reporting systems and travel management.
