Full Job Description

POSITION SUMMARY:

The Administrative Assistant will greet internal and external customers, answer incoming call, and ensure the office is maintained in a professional manner. Provides general office assistance for Quality South Programs.

ESSENTIAL JOB FUNCTIONS:

1. Greet and assist internal and external customers.

2. Establish and maintain persons served, employee and general files in accordance with policy and practice.

3. Completes the payroll process employees and submits to Regional QDDP Director.

4. Assist Program Managers/Regional QDDP Director with fundraising events, and ensure proper maintenance and reporting of funds.

5. Coordinate and maintain appropriate recording/documentation of petty case funds.

6. Coordinate and schedule training (i.e., rights, funding specific, FA, CPR, etc.) ensuring completion and maintaining records in training files.

7. Maintenance of electronic files in automated information system as outlined by the Regional QDDP Director

8. Prepare corporate/state reports as required, monthly, quarterly, annually, etc.

9. Assist in tracking and ensuring work related injuries are reported and handled as outlined in procedure.

10. Assist in ensuring a safe working environment for employees, persons served and visitors.

11. Attend all training sessions, staff meetings, etc.

12. Adhere to agency standards on confidentiality.

13. Able to perform lifesaving techniques as instructed in CPR/FA training.

14. Attend Training upon hire and annually a required by Company guidelines and Regulatory Agencies.

15. Participate in an agency wide Compliance Program to ensure services provided are consistent with services authorized per the individual or person centered plan.

16. Assure that documentation reflects only services delivered and that the billing and claims of services matches those authorized, delivered and documented.

17. Assist with contact the Socials Security Administrating and Department of Human Service appointments and complete the require documentation monthly / annually

18. Maintain the agency vehicle repairs/monthly reports / annual reports

19. Collect and maintain monthly reports that are submitting to outside agencies

20. Maintain inventory and order food and household supplies

21. Perform all other duties as assigned by the Regional QDDP Director or their designee.

PHYSICAL DEMANDS:

● Must be able to lift, push, pull, and support a minimum of 25lbs or more.

● Sitting, standing, walking for 8-hour shift.

● Finger Dexterity skills.

● Maintain acceptable driving record and eligibility requirements necessary to drive agency vehicles.

QUALIFICATIONS:

● High School Diploma or GED.

● Excellent verbal and written communication skills, proficient in MS Office, Word, Excel, report writing, internet, etc.

● Valid Driver’s License and Acceptable Driving Record.

● Basic accounting and finance experience.

● Successful completion of the post-offer process, including criminal background check and clearance from the Office of Recipient Rights.

● TB Test/Health Review/Physical.

● Completion of all required training in the specified timeframe.

Pay: From $16.00 per hour
