Job Description

Alabama State University, Levi Watkins Learning Center, invites applications to fill the vacant Administrative Secretary position. Under direct supervision, the selected candidate will provide secretarial assistance to the Dean, Levi Watkins Learning Center.

Duties and Responsibilities:

Supervise the work of all student assistants assigned to the unit
Organize and implement procedures for executing various administrative assignments
Compile factual information from files, records, publications and other sources, and tabulates this information in accordance with standardized report forms
Determine when pertinent materials from the files should be attached to certain documents with which the supervisor must deal
Compose draft of reports and letters for the supervisor's review, and transmits replies to routing correspondence on the supervisor's behalf.
Assist in arranging meetings of the unit's staff or faculty, and serve as recording secretary at such meetings
Take dictation or transcribes from electronic dictating equipment in preparing finished correspondence, reports or materials as assigned
Type minutes, correspondence and other documents relating to the operation of the unit, and proofread these materials to ensure their accuracy
Establish and maintain accurate and current files of letters, reports, records and other documentary materials, and ensure that information in these files is kept confidential
Answer the telephone, place calls, make appointments and reservations, receive visitors, and function as an office receptionist
Perform general office management duties, and recommend methods for improving office procedures
Perform other duties as assigned

Minimum Qualifications

An Associate degree in Secretarial Science, Office Administration or other appropriate field with one year of administrative or secretarial experience or a certificate in Secretarial Science with 2 years of administrative or secretarial experience required. A typing proficiency exam of 40 net words per minute is also required.

To be considered for this position, typing proficiency results must be submitted to the ASU Office of Human Resources by the announcement closing date. Proficiency exams administered by ASU's College of Education, and state Career Service Centers are accepted.
