Job Summary
Join our dynamic team as a Virtual Mail Associate, where you will play a vital role in managing and processing incoming and outgoing mail and data correspondence in a virtual environment. This position offers an exciting opportunity to utilize your organizational skills, attention to detail, and technical proficiency to ensure seamless communication flow and data accuracy. As a Virtual Mail Associate, you will be responsible for handling digital mail systems, maintaining accurate records, and supporting administrative functions that keep our operations running smoothly. Your proactive approach and efficiency will contribute significantly to our team’s success in delivering exceptional service. Responsibilities

Manage electronic mail systems by sorting, distributing, and archiving digital correspondence efficiently
Perform data entry tasks with high accuracy using various databases and office software tools
Utilize ERP (Enterprise Resource Planning) systems to track shipments, invoices, and other critical information
Maintain organized digital filing systems for easy retrieval of documents and records
Assist with order entry processes, ensuring all information is correctly entered into relevant platforms
Conduct data collection and analysis using pivot tables and Excel spreadsheets to support reporting needs
Support clerical tasks such as transcription, typing, filing, and basic math calculations to verify data accuracy
Collaborate with team members to streamline workflows and improve overall administrative processes
Assist with basic property management tasks

Qualifications

Proven experience with office administration or clerical work, including data entry and filing
Strong computer skills with proficiency in Microsoft Excel, Office Suite, and database management
Familiarity with ERP systems, databases, and order entry processes is highly desirable
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
Attention to detail for accurate data collection, transcription, and record keeping
Basic math skills for verifying figures and processing transactions accurately
Previous experience working remotely or in a virtual setting is a plus but not required
