JP Concrete Solutions is a growing residential, commercial, and industrial concrete contractor serving Montgomery County and surrounding areas. We specialize in concrete foundations, driveways, parking lots, sidewalks, structural concrete, and turnkey construction projects.
We are seeking a dependable, highly organized Construction Administrative Assistant to support our office, project management, estimating, and accounting operations. This position plays an important role in keeping projects organized, customers informed, paperwork completed, and internal processes moving efficiently.
The ideal candidate is proactive, professional, detail-oriented, comfortable working in a fast-paced construction environment, and capable of managing multiple responsibilities without losing track of deadlines.
Key Responsibilities
- Answer incoming phone calls, respond to general inquiries, and route customers, vendors, and subcontractors to the appropriate team member
- Greet office visitors and maintain a professional and welcoming front-office environment
- Enter new customer leads and maintain accurate customer and project information
- Assist with scheduling site visits, project meetings, customer appointments, inspections, and internal meetings
- Create, organize, and maintain digital and physical project files
- Collect and track contracts, permits, plans, purchase orders, change orders, invoices, insurance documents, lien releases, and other project paperwork
- Support project managers and estimators with documentation, scheduling, customer communication, and project updates
- Update project information, notes, schedules, tasks, and documents within JobTread
- Assist with QuickBooks Online tasks, including customer invoicing, vendor bills, expense documentation, payment tracking, and financial record organization
- Follow up on outstanding customer documents, approvals, deposits, invoices, and payments
- Communicate professionally with customers regarding scheduling, project documentation, invoices, and general project updates
- Coordinate with vendors and subcontractors to collect invoices, W-9s, certificates of insurance, lien releases, and other required documents
- Monitor office emails, calendars, task lists, and administrative deadlines
- Assist with ordering office supplies and maintaining an organized, professional workspace
- Perform data entry, scanning, filing, proofreading, and general administrative duties
- Handle sensitive customer, employee, and company information with confidentiality
- Help improve and maintain administrative systems, checklists, and standard operating procedures
Required Qualifications
- Previous administrative, office management, or construction office experience
- Strong organizational and time-management skills
- Ability to manage multiple tasks, deadlines, and priorities in a fast-paced environment
- Excellent written and verbal communication skills
- Professional phone etiquette and customer service skills
- Strong attention to detail and ability to identify missing or inaccurate information
- Proficiency with Microsoft Office, including Word, Excel, and Outlook
- Proficiency with Google Workspace, including Gmail, Google Drive, Google Docs, Google Sheets, and Google Calendar
- Comfortable learning and using construction management and accounting software
- Reliable, punctual, and able to work independently with limited supervision
- Ability to maintain confidentiality and handle sensitive information professionally
Preferred Qualifications
- Experience working for a concrete contractor, general contractor, subcontractor, homebuilder, or construction-related company
- Experience using JobTread or similar construction management software
- Experience using QuickBooks Online
- Experience with invoicing, accounts receivable, accounts payable, purchase orders, or basic bookkeeping
- Experience coordinating construction schedules, permits, inspections, and project documentation
- Bilingual in English and Spanish
- Familiarity with construction terminology, contracts, plans, change orders, lien releases, and certificates of insurance

Pay: $15.00 - $25.00 per hour
