Overview

We are seeking an energetic and highly organized Front Desk Receptionist to be the welcoming face of our office. This vital role involves managing front desk operations, providing exceptional customer service, and supporting administrative functions to ensure smooth daily activities. Duties

Greet visitors, clients, and vendors warmly and professionally, creating a positive first impression
Answer multi-line phone systems promptly and courteously, directing calls accurately and efficiently
Manage appointment scheduling and calendar coordination using productivity software and Google Workspace tools
Perform data entry, maintain filing systems, and handle clerical tasks such as proofreading and document preparation
Support office management activities including supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
Provide customer support by addressing inquiries, offering information, and ensuring excellent service at all times
Maintain a clean, organized reception area and ensure all front desk operations run smoothly with strong time management skills

Skills

Proven experience in office management or administrative support roles with strong organizational skills
Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and productivity software
Strong typing skills combined with data entry accuracy and attention to detail
Exceptional phone etiquette with experience managing multi-line phone systems and providing customer service
Bilingual abilities are highly desirable to serve diverse client needs effectively
Technical proficiency in office equipment such as printers, scanners, and fax machines is preferred
Experience in medical or dental receptionist roles is a plus, especially familiarity with calendar management and patient communication
Demonstrated ability to multitask efficiently while maintaining professionalism under pressure
