The Executive Assistant will play an integral role in supporting the leadership of Capital Digestive Care. In addition to being organized and having the ability to manage multiple tasks, you possess the strong business acumen and communication skills needed to interact with a variety of people and job functions. To be successful in this position, your work schedule will reflect being available to work periodic evenings during the month.

What you’ll be working on:

· Provide high-level administrative and operational support primarily to the General Counsel and Chief Compliance Officer, with additional support to other members of the executive leadership team as needed.

· Manage complex executive calendars, schedule meetings and appointments, coordinate priorities, and proactively resolve scheduling conflicts.

· Coordinate and facilitate internal and external meetings, including scheduling, preparing materials, organizing agendas, sending reminders, and coordinating logistics such as catering, travel, and accommodations when necessary.

· Assist the General Counsel and Chief Compliance Officer with the organization, coordination, and tracking of legal, regulatory, compliance, and corporate matters.

· Support contract management activities, including maintaining the organization's contract repository and tracking key terms, renewals, expirations, notice periods, deliverables, and other critical deadlines.

· Assist with coordinating the contract review and approval process among internal stakeholders, legal counsel, vendors, and other parties as appropriate.

· Maintain organized and confidential legal, compliance, contract, and corporate records and documentation.

· Assist with healthcare compliance-related administrative activities, including tracking initiatives, deadlines, documentation, meetings, and follow-up items.

· Support projects and initiatives by coordinating and tracking timelines, milestones, deliverables, and status updates and escalating issues as appropriate.

· Proactively ensure relevant stakeholders remain informed and aligned through effective communication, documentation, and follow-up.

· Work closely with key business stakeholders across the organization to identify opportunities to improve administrative processes and operational efficiency.

· Prepare, organize, proofread, and maintain correspondence, presentations, reports, meeting materials, and other executive-level documentation.

· Handle sensitive and confidential information with a high degree of discretion and professionalism.

· Organize and maintain the corporate office, including coordinating office supplies, mail, deliveries, and other general office needs.

· Assist with special projects and provide administrative support to other members of the executive leadership team as business needs require.

Qualifications:

· A successful applicant must be legally authorized to work in the United States without sponsorship.

· Bachelor's degree preferred but not required.

· Minimum of 3 years of experience in an executive support, legal support, compliance, healthcare administration, project coordination, or similar professional role preferred.

· Experience working in a healthcare environment strongly preferred.

· Experience with contract administration or contract management preferred.

· Healthcare compliance experience preferred but not required.

· Paralegal or legal administrative experience preferred but not required.

· Strong organizational, project management, and time-management skills.

· Exceptional attention to detail and the ability to manage multiple competing priorities and deadlines.

· Ability to exercise sound judgment and maintain confidentiality when handling sensitive legal, compliance, personnel, and business information.

· Strong written and verbal communication skills and the ability to communicate professionally with executives, physicians, attorneys, employees, vendors, and external business partners.

· Strong proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.

· Ability to work independently, anticipate needs, take initiative, and collaborate effectively within a team environment.
