Job Summary

We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team. This role combines essential bookkeeping responsibilities with administrative support to ensure smooth office operations. The ideal candidate will be highly organized, tech-savvy, and capable of managing multiple tasks efficiently. You will play a vital role in maintaining accurate financial records, supporting client communication, and providing exceptional service. Duties

Manage day-to-day bookkeeping using QuickBooks, including invoicing, expense tracking, and bank reconciliations
Maintain accurate financial records and prepare reports for management review
Handle multi-line phone systems, directing calls professionally and courteously
Perform data entry and maintain organized spreadsheets for various administrative functions
Assist with office management tasks such as calendar scheduling, supply ordering, and document proofreading
Support client communication through phone calls, emails, and written correspondence
Utilize Microsoft Office Suite (Word, Excel) for document creation, editing, and data management
Manage administrative tasks efficiently to enhance overall office productivity and organization
Have familiarity with basic payroll processing

Qualifications

Proven experience with bookkeeping software such as QuickBooks (QBO preferred) or similar platforms
Strong proficiency in Microsoft Office applications, especially Word and Excel spreadsheets
Excellent organizational skills with the ability to multitask effectively in a busy environment
Demonstrated clerical experience including data entry, file management, and document proofreading
Exceptional customer service skills with professional phone etiquette and clear communication abilities
Bilingual abilities are highly desirable to support diverse client needs
Familiarity with multi-line phone systems and front desk operations is preferred
Strong computer literacy and technical proficiency in office productivity software
Prior office management or administrative experience is a plus
Ability to prioritize tasks efficiently with excellent time management skills
