SUMMARY OF ROLE
The Maintenance Manager is responsible for overseeing the maintenance, repair, safety, functionality, and overall physical condition of the hotel, grounds, buildings, equipment, and facilities. This position leads the maintenance function while remaining hands-on and actively participating in repairs, preventative maintenance, groundskeeping, and property projects as needed.
The Maintenance Manager is responsible for developing and maintaining an effective preventative maintenance program, prioritizing and completing work orders, managing maintenance supplies and equipment, coordinating outside vendors and contractors, supervising maintenance and grounds employees, and ensuring the property is maintained in a safe, clean, functional, and guest-ready condition.
This role requires strong leadership, organization, technical knowledge, sound judgment, and the ability to respond quickly to operational needs while maintaining a proactive approach to property maintenance.
ESSENTIAL DUTIES & RESPONSIBILITIES
Essential duties and responsibilities include, but are not limited to:
· Oversee the daily operation of the Maintenance Department, including maintenance technicians, grounds employees, and other employees assigned to maintenance-related responsibilities.
· Establish daily and weekly priorities for the Maintenance Department based on guest needs, operational requirements, preventative maintenance schedules, safety concerns, and property projects.
· Perform regular property inspections to identify maintenance concerns, safety hazards, equipment issues, needed repairs, and opportunities for preventative maintenance.
· Develop, maintain, and execute the hotel's preventative maintenance program for guest rooms, public spaces, buildings, grounds, equipment, mechanical systems, and hotel assets.
· Ensure preventative maintenance tasks are completed according to established schedules and properly documented.
· Manage and prioritize maintenance work orders and ensure guest-related and safety-related concerns receive immediate attention.
· Maintain accurate maintenance records, daily logs, preventative maintenance documentation, equipment records, inspection reports, and work-order history.
· Complete and oversee repairs including plumbing, electrical, HVAC, carpentry, painting, furniture and fixture repair, doors and locks, lighting, appliances, kitchen equipment, laundry equipment, and other general building maintenance.
· Troubleshoot equipment and building-system issues and determine whether repairs can be completed internally or require an outside contractor or specialized vendor.
· Coordinate and oversee outside contractors, service providers, and vendors when specialized repairs, inspections, or services are required.
· Obtain estimates and communicate significant repair needs, equipment failures, capital needs, and recommended improvements to the General Manager.
· Monitor the condition and efficiency of hotel equipment and systems, including HVAC, plumbing, electrical systems, water systems, lighting, access doors and locks, kitchen and laundry equipment, and other property infrastructure.
· Maintain the safety, appearance, and cleanliness of the hotel's exterior areas, grounds, walkways, parking areas, signage, lighting, recreational areas, and other outdoor guest spaces.
· Ensure landscaping, lawn care, snow removal, salting, and other seasonal grounds responsibilities are completed appropriately.
· Maintain hotel vehicles, golf carts, utility vehicles, maintenance equipment, tools, and other department assets in safe working condition.
· Maintain appropriate inventory levels of maintenance tools, parts, supplies, filters, light bulbs, chemicals, equipment, and other commonly needed materials.
· Protect hotel inventory and assets and ensure tools, supplies, equipment, and keys are properly secured and accounted for.
· Assist with planning and execution of property improvement projects, renovations, repairs, and capital projects as directed by the General Manager.
· Identify recurring maintenance problems and recommend long-term solutions rather than relying solely on temporary repairs.
· Monitor maintenance-related expenses and assist the General Manager with budgeting, purchasing decisions, capital planning, and cost-control efforts.
· Review invoices, purchases, and vendor work related to the Maintenance Department for accuracy and completion.
· Train, coach, schedule, supervise, and provide direction to maintenance and grounds employees.
· Ensure department employees understand and follow hotel policies, safety procedures, equipment-use requirements, and established maintenance standards.
· Ensure maintenance staffing and schedules appropriately support hotel occupancy, events, groups, seasonal needs, and operational demands while controlling labor costs.
· Work closely with Front Desk, Housekeeping, Food & Beverage, Events, Sales, and hotel leadership to identify and resolve maintenance concerns.
· Respond promptly and professionally to guest maintenance concerns and service requests.
· Ensure guest rooms and public areas taken out of service for maintenance are repaired, inspected, and returned to service as quickly as reasonably possible.
· Participate in emergency response situations involving power outages, water issues, leaks, equipment failures, severe weather, fire or life-safety concerns, and other property emergencies.
· Follow and enforce established safety procedures at all times and immediately address unsafe conditions or malfunctioning equipment.
· Ensure required inspections, testing, maintenance, and documentation related to hotel systems and equipment are completed as required.
· Maintain guest service standards and ensure all Maintenance Department employees interact professionally and courteously with guests.
· Maintain confidentiality and appropriately control access to guest rooms, restricted areas, master keys, equipment rooms, and other secured areas of the property.
· Remain available to respond to urgent property maintenance situations when reasonably required.
· Ability to work a varied schedule including days, evenings, weekends, holidays, and during emergency situations based on hotel operational needs.
· Perform other duties and projects as assigned by the General Manager.
KNOWLEDGE, SKILLS & ABILITIES
· Strong working knowledge of general building maintenance, including plumbing, electrical, HVAC, carpentry, painting, mechanical systems, and general repairs.
· Ability to diagnose maintenance problems, determine appropriate solutions, and recognize when specialized contractors or vendors are required.
· Strong leadership skills with the ability to supervise, train, coach, and hold employees accountable.
· Ability to organize and prioritize multiple maintenance requests, projects, preventative maintenance responsibilities, and emergency situations.
· Strong problem-solving skills and ability to react quickly and appropriately to unexpected operational issues.
· Ability to balance immediate repair needs with long-term preventative maintenance and property preservation.
· Strong attention to detail and commitment to maintaining a safe, clean, functional, and well-maintained property.
· Ability to maintain accurate records, logs, inspection reports, work orders, inventories, and preventative maintenance documentation.
· Basic understanding of departmental budgeting, purchasing, inventory control, expense management, and vendor coordination.
· Strong communication and interpersonal skills when interacting with guests, employees, vendors, contractors, and hotel leadership.
· Strong customer service focus and understanding of how maintenance directly impacts the guest experience.

· Ability to work independently with minimal supervision while maintaining accountability for departmental responsibilities.
· Ability to safely operate maintenance tools, equipment, hotel vehicles, golf carts, utility vehicles, and other equipment required for the position.
· Ability to read and understand operating manuals, safety instructions, policies, procedures, equipment specifications, and maintenance documentation.
· Basic computer skills and ability to use hotel systems, email, work-order systems, spreadsheets, and other technology required for the position.
· Ability to read, write, speak, and understand English sufficiently to perform the essential functions of the position and communicate regarding safety and operational matters.
QUALIFICATIONS
· High school diploma or equivalent required.
· Minimum of three years of experience in building, facilities, hotel, resort or property maintenance required.
· Previous supervisory or maintenance leadership experience strongly preferred.
· Hospitality, resort, hotel, multi-building property, or facilities-management experience preferred.
· Working knowledge of plumbing, electrical, HVAC, carpentry, mechanical systems, general repairs, and preventative maintenance required.
· Valid driver's license and ability to safely operate company vehicles and equipment as required by the position.
· Ability to successfully complete any required motor vehicle, background, or other employment screening applicable to the position.
· Relevant trade certifications, licenses, or technical training are preferred but not required unless necessary for specific work performed.

· Ability to hear and communicate with employees, guests, vendors, contractors, and emergency personnel in person and by phone or radio.
· Ability to safely operate hotel vehicles, golf carts, utility vehicles, snow-removal equipment, and other authorized equipment as required.
· Ability to work in a constant state of alertness and in a safe and professional manner.
MANAGEMENT EXPECTATIONS
The Maintenance Manager is expected to take ownership of the physical condition of the property. This position is not solely responsible for responding to maintenance problems after they occur. The Maintenance Manager is expected to proactively identify concerns, establish preventative measures, communicate emerging needs, develop solutions, and ensure maintenance responsibilities are completed thoroughly and timely.
The Maintenance Manager serves as the primary point of accountability for the Maintenance Department and is expected to communicate openly with the General Manager regarding safety concerns, significant repairs, equipment failures, staffing needs, vendor issues, anticipated expenses, and capital improvement recommendations.
Pay: $55,000.00 - $70,000.00 per year
