Full Job Description

Job Title: Human Resources and Payroll Manager

Location: Remote Hybrid preferred (remote considered)

Employment Type: Full-Time

Reports To: Co-Founders

Position Summary

We are seeking an experienced and highly organized Human Resources, and Payroll Manager to oversee all aspects of HR administration, multi-state payroll processing, employee benefits, compliance, and some office operations. This role is critical in ensuring regulatory compliance, operational efficiency, and a positive employee experience across the organization.

The ideal candidate will have strong experience managing multi-state payroll, with deep knowledge of California labor law, and will be comfortable working independently across multiple functional areas.

Key Responsibilities

Human Resources Management

Administer employee benefits programs, including Open Enrollment, benefit changes, and employee support
Serve as primary point of contact for employee HR-related questions and issues
Coordinate full-cycle recruiting, including:
Posting job openings
Screening resumes
Conducting initial interviews
Coordinating interviews with management
Preparing offer letters and coordinating background checks
Maintain and update employee handbook, policies, and HR procedures
Ensure compliance with federal, state, and local employment laws and regulations
Coordinate employee performance evaluation process
Administer and support 401(k) plan, including employee enrollments, changes, and audits
Administer Workers’ Compensation reporting and annual audit process
Work with legal counsel on employment matters, as needed
Conduct salary surveys and assist with compensation analysis

Payroll Management

Administer and process semi-monthly payroll using payroll system (Rippling or similar)
Manage payroll for employees across multiple states
Ensure compliance with federal, state, and local payroll tax requirements
Maintain payroll tax accounts and respond to tax notices
Ensure compliance with California wage and hour laws, including:
Overtime rules
Meal and rest break compliance
Final paycheck requirements
Wage statement requirements
Reconcile payroll-related benefits and deductions
Coordinate 401(k) payroll contributions and reporting
Prepare payroll reports and provide accounting support as needed
Partner with Finance during month-end close to support payroll accruals and journal entries

Office and Operations Management

Serve as liaison with external IT provider and manage internal technology needs
Administer employee access credentials, ID badges, and facility access systems
Coordinate company events and employee functions
Support operational needs related to onboarding and staffing

Required Qualifications

Minimum 5+ years of experience in Human Resources and Payroll administration
Demonstrated experience processing multi-state payroll
Strong knowledge of California labor law and payroll compliance requirements
Experience administering payroll systems (Rippling preferred)
Experience administering employee benefits and 401(k) plans
Experience managing HR compliance, policies, and employee relations
Strong organizational skills and attention to detail
Ability to manage confidential information with discretion
Ability to work independently and manage multiple priorities

Preferred Qualifications

Experience working in aviation, corporate, or regulated environments
Experience with QuickBooks or similar accounting systems
Experience managing office operations and vendor relationships

Key Competencies

Strong knowledge of California employment law and compliance
Excellent communication and interpersonal skills
High level of professionalism and discretion
Strong problem-solving skills
Ability to work independently in a fast-paced environment

Compensation and Benefits

Highly robust compensation package which includes 100% employer paid health care for the employee (based on core plan - Gold PPO plan with an option to buy up for Platinum PPO) and 80% for dependents, employer paid dental and vision for employee and dependents, 401(k) with employer match up to 8%, STD, LTD, and life insurance $200,000 with potential increase to $400,000 paid by employer.

Salary range: $95,000 - $110,000

Pay: $95,000.00 - $110,000.00 per year
