Position Purpose:
The purpose of the Senior Administrative Assistant position is to come alongside the Senior Executive Assistant in managing the daily tasks of the office to ensure accuracy, efficiency, and professionalism in the areas of correspondence, itinerary and travel planning, financial activities, reporting, and assisting with scheduling.
Essential Duties:

Sort and distribute incoming correspondence, including mail and emails.

Respond to emails, phone calls, and correspondence, including the Executive office inbox.

Respond to speaking engagement inquiries.
-
Assist with creating itineraries, booking flights, car rentals, and hotels, along with other travel arrangements and scheduling for conferences, events, and churches.

Assist with honorariums, product for guest speakers, and update teaching topic.
-
Oversee the VIP photo wall, including scheduling photo shoots at events.
-
Schedule, coordinate, and direct special lunches for guests in the office and for conferences and events.
- Keep the office stocked with drinks and snacks.
- Schedule dry cleaning for TV shoot clothes.
- Work with specific departments on sponsorship opportunities for local, state, and nationwide events.

Work with Media teams on video/promotional requests.

Reconcile credit card statements and submit payment requests in Sage.

Update the senior executive calendar for vacations, events, and meeting travel dates.

Add Creative Performance schedules to the calendar.
- Maintain and organize files, both electronic and hard copy.

Write and update policy, procedures, and processes accordingly for all tasks.

Communicate filming dates to TV and GTN teams and maintain their calendars.

Assist with scheduling GTN shoots and participate in meetings.

Assist the HR team with birthday, anniversary, and Christmas card orders, including coordinating employee anniversary letters and scheduling meetings with employees.

Post church meetings and speaking engagements on SharePoint.
- Maintain CD mechanical licenses and reporting.

Maintain the Give Account tracking sheet.

Flower and gift ordering for Christmas, Sympathy, and Miscellaneous.

Other duties and special projects as assigned.

Requirements:

Must have a personal relationship with Jesus Christ.

Must sign the Statement of Faith.

A high school diploma or equivalent education is required.
-
A minimum of an associate's degree is preferred.

Charis Bible College graduate and/or AWM/Charis employee preferred.

Computer training and certifications are desirable. Any course of study for Administrative Assistant-level positions is ideal.

Ability to travel between AWM HQ and Charis Bible College locations in Woodland Park, CO.

Must be dependable and punctual.

Type 60 plus wpm with at least 90% accuracy.

Must pass all required checks.
Experience:
-
Minimum of two (2) years’ experience in an Administrative Assistant position preferred.

Strong work tenure: 2+ years’ experience supporting management, preferably in a non-profit organization.
- Compensation commensurate with experience.
