Job Summary

We are seeking an energetic and highly organized Receptionist to be the welcoming face of our office. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors and clients. Your technical proficiency with office management software, Microsoft Office suite, and data entry will ensure smooth daily operations. This position offers an exciting opportunity to support administrative functions while creating a positive first impression for everyone who walks through our doors.

Duties

Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly
Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette
Handle incoming and outgoing correspondence, including emails, mail, and packages
Maintain organized front desk area, ensuring all supplies are stocked and the environment is tidy
Assist with data entry tasks using spreadsheets and productivity software to support office operations
Support office management tasks such as scheduling appointments
Provide customer support by answering inquiries accurately and assisting with basic information or directing to appropriate personnel
Perform clerical duties including word processing, document preparation, filing, and record keeping
Utilize computer skills to update databases, manage client communication records, and support administrative workflows

Experience

Proven office experience or administrative support background demonstrating strong organizational skills
Familiarity with Microsoft Office applications including Word, Excel (spreadsheets), and Outlook for communication and documentation purposes
Experience handling multi-line phone systems with professionalism and efficiency
Data entry experience with high accuracy in typing and record management
Customer service or front desk experience emphasizing excellent communication skills and positive client interaction
Technical proficiency in office management software such as QuickBooks or similar tools is advantageous
Strong organizational skills coupled with time management abilities to prioritize tasks effectively
Personal assistant or clerical experience that highlights multitasking capabilities in a fast-paced environment
