Full Job Description

Part-Time Patient Care Coordinator – Front Desk & Patient Engagement

Montclair, NJ | $22–$26/hour + Performance Bonus | ~25 Hours/Week

We’re an established, busy Acupuncture & Herbal Medicine clinic in Montclair looking for a confident, personable Patient Care Coordinator to become the voice and face of our front desk.

This is not your average receptionist job.

Yes, there are phones, schedules and payments. But the bigger part of the job is connecting with people—answering questions, following up with prospective patients, talking comfortably about treatment and cost, and helping people take the next step in their care.

You don't need to know your Liver Qi from your Kidney Yang on day one. We can teach you Chinese medicine. We can't teach curiosity, initiative or how to genuinely enjoy talking to people.

You Might Be Our Person If...

You're great on the phone—and actually like being on it
You can build rapport with almost anyone
Following up doesn't feel like bothering people to you
You can talk about money without whispering the price or apologizing for it
You understand that what you would personally spend isn't necessarily what someone else would spend
You're organized enough to keep multiple balls in the air without requiring someone to remind you where they landed
You're comfortable with technology and learn quickly
You're genuinely curious about acupuncture, Chinese medicine and integrative healthcare
You take initiative instead of waiting to be told what to do next
You maintain a polished, professional appearance appropriate for a patient-facing healthcare environment

Bonus points for experience in healthcare, hospitality, customer service or sales.

Knowledge of acupuncture is a plus, not a prerequisite. Interest in learning it is much more important.

What You'll Actually Do

Answer incoming calls and turn qualified inquiries into appointments
Follow up with prospective patients by phone, text and email
Answer questions about our services, scheduling and fees
Manage scheduling, payments and front desk operations
Handle basic insurance-related tasks, including benefit verification and generating superbills; understand common insurance terms such as deductibles, copays, coinsurance, and in-network vs. out-of-network benefits
Keep leads organized and followed up through our CRM
Help patients stay on track with their treatment schedules
Assist with patient flow, room setup and treatment preparation
Help with administrative and practice-related projects as needed

In short: keep the front of the practice running smoothly while making every patient feel that someone competent is taking care of them.

The Schedule

Approximately 25 hours/week. Our current regular schedule is:

Monday: 1–7 PM
Wednesday: 8:30 AM–2:30 PM
Thursday: 3–7 PM
Friday: 8:30 AM–2:30 PM

The schedule occasionally shifts with practice needs, and we may occasionally need Saturday morning availability.

The Money Part

After training: $22–$26/hour, based on relevant experience and demonstrated ability, plus performance-based bonuses.

Paid training starts at $20/hour and typically lasts 4–6 weeks (and may be completed sooner if you're a quick study).

We're looking for someone who can ultimately contribute to the growth of the practice, so strong performance matters—and we believe it should be rewarded.

Some of our patients make a significant financial investment in their care.

You don't have to personally make the same spending decisions they do. But you do need to be able to discuss treatment costs confidently, without apologizing for the price or deciding for someone else what they can afford.

If talking about money makes you want to hide under the front desk, this probably isn't your job.
