Full Job Description

Overview
The Client Accounts Specialist is responsible for supporting both client and agency financial operations in a dynamic environment. This role requires a detail-oriented professional with experience in bookkeeping, including double-entry accounting, bank reconciliations, and cash management. The Client Accounts Specialist ensures compliance with Oklahoma Healthcare Authority and Department of Developmental Services (DDS) policies regarding the financial management and oversight of funds for individuals with intellectual and developmental disabilities. Key responsibilities include reconciling client accounts, maintaining accurate and organized financial records, preparing financial statements, and supporting internal and external audits as needed.

Essential Functions and Responsibilities

Prepare monthly client invoices accurately and on time.
Manage client funds, including disbursement for utility accounts, rent, and other necessary expenses.
Conduct bank account reconciliations to ensure financial data accuracy and compliance with state regulations.
Monitor monthly client bank balances to ensure funds remain within DDS policy limits for Medicaid eligibility.
Assist with budgeting client funds, allocating resources according to individual client plans and DDS policy.
Support internal and external audits by providing documentation and explanations as needed.
Utilize accounting software, such as QuickBooks, Google Sheets, or similar platforms, to support daily financial operations.
Collaborate with management to maintain and enforce internal financial controls and procedures.
Some local travel required.
Perform other duties as assigned related to client account management, customer service support, and agency operations.

Qualifications

Minimum of 2 years of relevant bookkeeping experience, including responsibilities outlined in this role.
Strong knowledge of double-entry bookkeeping, cash management, bank reconciliations, and debits and credits.
Proficiency with accounting software such as QuickBooks, Microsoft Office, Google Workspace, or similar platforms.
Advanced Excel skills for organizing, analyzing, and presenting financial information.
Strong analytical and problem-solving abilities, with attention to detail to identify errors, trends, and actionable insights.
Excellent organizational and time management skills, capable of handling multiple priorities and meeting deadlines consistently.
Effective communication skills, especially in client-facing situations.
Experience working with vulnerable populations, including individuals with intellectual and developmental disabilities, with sensitivity and care.
High ethical standards and commitment to confidentiality, ensuring integrity and privacy in all financial matters.

Job Types: Full-time, Part-time, Contract, Temporary

Pay: From $25.00 per hour

Expected hours: 20 – 30 per week
