SUMMARY OF DUTIES:
Leads a team of cargo coordinators to ensure the efficient control of cargo transiting the Port General Terminal. Responsible for directing movement of cargo in/out of the port to include the management of inventory and all related documentation and system entries. The team leader will liaison with customers as needed to support daily movements of cargo. Additional duties include supporting vessel operations as needed.
DESCRIPTION OF WORK:
- Lead and coordinate cargo control work assignments, schedules, and processes.
- Oversee daily department activities and work assignments, keeping accurate records.
- Check in/out all import and export trucks. Enter truck visit information into operating system for import and export cargo maintaining complete and accurate inventory balances and shipment documentation.
- Coordinate with Carolina Coastal Railway to properly document railcars for billing.
- Maintain operating system including importation of manifest data as necessary, inventory locations, shipment entries, etc. Update inventory locations as necessary from Inventory Transfer Sheets. Prepare discharge reports and tags for import cargo.
- Work with Assistant Manager to schedule scaling operations for grain and fertilizer vessels.
- Assist with warehouse layout for cargo; provide monitors as needed.
- Ensure cargo has cleared customs and steamship line release prior to any shipments.
- Troubleshoot problems as they arise when loading trucks or railcars with cargo, delivering information to the warehouse personnel as necessary.
- Primary liaison to customers for cargo handling issues; resolving discrepancies and/or acquiring guidance for cargo operators. Ensure a positive working relationship with customers and elevate matters to Customer Support Liaison or Assistant Manager as necessary.
- Reconcile physical counts with system inventory records as necessary.
- Coordinate cargo samples based on customer requests.
- Complete daily and monthly reports for truck and rail movements as required.
- Assist the cargo handling team leaders in verification of cargo and identification of damaged units.
- Coordinate physical inventories monthly or as needed and investigate discrepancies as required.
- Create and/or continually review and improve processes.
- Ensure adequate on-hand office supplies to support daily operations.
- Maintain customer files with updated contact information.
- Maintain a list of trucking firms to provide to customers, keeping all information current.
- Work overtime as volume dictates to provide outstanding customer service.
- All other duties as assigned by management.
PREFERRED KNOWLEDGE, SKILLS, AND ABILITIES:
- High School Diploma or equivalent required
- Minimum of one year of office administration and cargo/warehouse experience preferred.
- Experience operating and understanding heavy equipment operations is preferred.
- Must be proficient in the use of business software, such as: MS Word, Excel, email applications, and willing to learn the Port operating systems.
- Ability to work cooperatively in multi-person, fast-paced office.
- Ability to lead and motivate others in completing daily assigned tasks is required.
- Position requires excellent customer service skills and strong attention to detail.
- Overtime, weekend and holiday work is required.
- Must have a valid driver’s license and meet TWIC security requirements.
WORKING CONDITIONS/PHYSICAL EFFORT:
Much of the time will be spent in a climate-controlled environment performing normal office/clerical duties. At times, there will be occasional exposure to inclement weather, loud noises from machinery, proximity to machinery in operation, and fumes/odors from products that are handled on the port. Must be able to alternate between sitting and standing positions for prolonged periods. Routinely exposed to jarring of the body during equipment operations over uneven terrain. Must be able to lift 25 pounds and be able to climb ladders onto rail cars and buildings for inventory purposes. Will support Cargo forklift operations as needed.
