Job Overview

We are seeking an energetic and highly organized Office Manager to lead the daily operations of our office environment. This pivotal role involves overseeing administrative functions, ensuring smooth communication, and maintaining an efficient workspace. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and technical proficiency to support our team and enhance overall productivity. As the Office Manager, you will be the backbone of our office operations, fostering a positive and professional atmosphere that promotes success.

Responsibilities

Manage front desk activities, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette.
Oversee office supplies inventory, procurement, and filing systems to ensure seamless daily operations.
Coordinate calendar management and schedule appointments for staff and executives using productivity software.
Perform data entry tasks, maintain spreadsheets, and handle clerical duties with accuracy and efficiency.
Support customer service efforts by assisting clients and responding promptly to inquiries via phone or email.
Facilitate office management tasks such as organizing meetings, preparing Word documents, and maintaining filing systems.
Utilize computer skills to troubleshoot basic technical issues and support overall office computer literacy.

Requirements

Proven experience in office management or administrative roles with strong organizational skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry.
Excellent communication skills, both verbal and written, with a focus on customer support and client communication.
Ability to operate multi-line phone systems efficiently while maintaining professionalism in all interactions.
Bilingual abilities are a plus to effectively serve diverse teams and clients.
Demonstrated computer literacy with experience in productivity software and technical proficiency in office equipment.
Prior clerical experience including filing, calendar management, typing, and document processing.
Strong time management skills with the ability to prioritize tasks effectively under pressure.
Personal assistant or front desk experience is advantageous for managing daily office functions smoothly.
