Full Job Description

This is primarily an in-office position, with hybrid flexibility on Fridays available after training and demonstrated proficiency.

Position Overview

We are seeking a detail-oriented and dependable Payroll Coordinator to support payroll operations across multiple divisions and states. This position plays an important role in ensuring employees are paid accurately and on time while providing responsive support to employees and local office administrators.

The ideal candidate enjoys working with numbers and data, maintaining accurate records, solving problems, and assisting employees with payroll and HR-related processes. This position will also support payroll compliance, benefits administration, onboarding, and other administrative functions.

Key ResponsibilitiesPayroll Processing

Support the processing of semi-monthly payroll for non-union employees using the iSolved payroll system.
Support weekly union payroll processing for assigned divisions until local administrators are fully trained and onboarded.
Maintain accurate payroll records within iSolved and the company's ERP system across multiple business entities.
Process and maintain employment changes, including new hires, terminations, promotions, pay-rate changes, and employee transfers.
Review payroll information for accuracy and help identify and resolve discrepancies before processing.
Assist employees and administrators with payroll-related questions and concerns.

Compliance & Reporting

Assist with payroll tax reporting and compliance requirements.
Support the processing of garnishments, tax levies, unemployment claims, and other payroll-related notices.
Maintain payroll documentation and records in accordance with applicable federal and state requirements.
Generate and distribute payroll reports as needed.
Help ensure payroll information remains accurate, organized, and properly documented.

Benefits & 401(k) Administration

Assist with 401(k) enrollment and employee updates within the iSolved payroll system.
Process new employee deferrals and contribution updates.
Assist with union benefits and vacation accrual processing until responsibility transitions to appropriate local office personnel.
Support employees with general benefits and payroll-related questions.

Hiring, Onboarding & Administrative Support

Assist with new job postings.
Assist with enrolling applicants in required pre-employment screenings.
Support onboarding-related processes and employee record updates.
Assist with supply procurement and other administrative responsibilities as needed.

Qualifications

Previous experience supporting payroll operations preferred.
Experience working with multi-state and/or union payroll is a plus.
Working knowledge of payroll compliance, garnishments, employee benefits, and 401(k) administration.
Experience with payroll systems; iSolved experience is preferred.
Proficiency with Microsoft Office, including Excel, Outlook, and Word.
Exceptional attention to detail and commitment to accuracy.
Strong communication skills with the ability to clearly explain payroll-related matters to employees and leadership.
Comfortable working within a small HR/payroll department while collaborating with teams across multiple divisions.
High level of integrity and confidentiality when handling sensitive employee and company information.
Strong organizational and time-management skills.
Ability to manage multiple responsibilities and meet payroll deadlines.
