Job Overview

As a long time family owned dental practice in Westover, WV, we treat our patients as though they are a part of our family. We are seeking an energetic and detail-oriented Front Desk Administrative Assistant to be the welcoming face of our organization. This position is full time Monday-Thursday from 7:30am to 5pm. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily activities. Your positive attitude and organizational skills will help create a professional and friendly environment for clients, visitors, and team members alike. This paid position offers an exciting opportunity to develop your office management expertise while contributing to a dynamic team.

Responsibilities

Greet visitors and clients warmly, ensuring a positive first impression at all times
Answer multi-line phone systems promptly and professionally, directing calls efficiently
Manage appointment scheduling and calendar coordination using Dentrix dental software
Handle data entry tasks accurately, including filing, record keeping, and updating spreadsheets with relevant information
Assist with office management duties such as ordering supplies, maintaining cleanliness, and organizing files
Provide customer support by addressing inquiries via phone or email with excellent phone etiquette and clear communication
Support clerical tasks such as proofreading documents, word processing, and managing correspondence
Utilize computer skills including Microsoft Office (Word, Excel) and general computer literacy to streamline office operations

Experience

Prior office experience or administrative support roles demonstrating strong organizational skills
Familiarity with multi-line phone systems and professional phone communication techniques
Experience in customer service or client communication environments emphasizing professionalism and patience
Proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, spreadsheets, and data entry tools
Knowledge of clerical tasks such as filing, proofreading, calendar management, and document preparation
Experience using Dentrix dental software is preferred
Previous experience as a medical or dental receptionist or personal assistant is a plus but not required
