Full Job Description

Job Summary:

As the Senior Facilities Operations Manager, you will play a crucial role in ensuring the efficient and effective operation of our mixed-use commercial properties, including Office, Retail, and Food & Beverage spaces. Your primary responsibility will be to oversee and lead the maintenance and repair activities for our diverse portfolio of commercial buildings, ensuring they are well-maintained, safe, and compliant with all applicable regulations.

Responsibilities:

Lead and manage the daily activities of building engineers across multiple properties, providing direction, training, and performance oversight. Manage on-call schedules to ensure continuous property coverage and timely response to issues.
Partner closely with Property Management to align building operations with tenant needs, lease obligations, property objectives, and ownership expectations. Serve as a key resource in due diligence efforts and high-level discussions related to building operations.
Develop, manage, and maintain operating and capital budgets for facilities operations, providing guidance on forecasting, cost controls, and long-term asset planning. Monitor expenses and ensure alignment with approved budgets.
Develop and implement comprehensive maintenance programs for commercial properties, including preventive maintenance schedules, inspections, and repair protocols. Prioritize and schedule work to minimize downtime and tenant disruption.
Serve as the first point of contact for fire alarms, building emergencies, and critical incidents. Lead Emergency Action Plan development, execution, and ongoing updates to ensure preparedness and risk mitigation.
Conduct regular inspections of buildings and building systems—including retail and food & beverage–specific systems—identifying deficiencies and ensuring timely, effective resolution.
Develop detailed repair and maintenance scopes of work, manage project schedules, and oversee execution for both routine and complex projects. Provide capital project and construction management support, coordinating work performed both directly and through external partners.
Perform hands-on repair and maintenance work as needed, particularly for urgent issues or specialized tasks requiring on-site expertise.
Oversee security and risk management programs, including access controls, master key systems, key assignment tracking, security cameras, and surveillance systems. Ensure proper system functionality and secure access across properties.
Implement, maintain, and optimize the Computerized Maintenance Management System (CMMS), ensuring accurate tracking of work orders, preventive maintenance, asset history, and performance metrics.
Manage building automation systems (BAS), monitoring performance and coordinating adjustments or repairs to improve efficiency, comfort, and reliability.
Establish and maintain strong relationships with vendors, contractors, and suppliers. Negotiate vendor contracts, obtain competitive bids, monitor performance, and ensure adherence to service level agreements and quality standards.
Research, procure, and manage MRO supplies and materials to support maintenance operations while balancing cost efficiency and operational readiness.
Ensure compliance with all local, state, and federal regulations related to building operations, safety, and environmental standards. Proactively address compliance issues and implement corrective actions as needed.
Maintain accurate records of maintenance activities, inspections, repairs, and projects. Prepare and present reports on operational performance, budgets, capital expenditures, and key facilities metrics to management.
Develop and maintain positive tenant relationships by responding effectively to inquiries, complaints, and sensitive issues, ensuring timely follow-up and high levels of tenant satisfaction.

Required Abilities/Education:

High School Diploma or equivalent required.
10+ years of experience in commercial property maintenance or facilities operations, including at least 5 years in a supervisory role.
Facility Management certifications preferred (CPMM, CFM, SMA, ProFM)
Excellent oral and written communication skills, interpersonal skills, with the ability to collaborate and build relationships with tenants, contractors, and colleagues.
Basic understanding of Commercial lease types (Retail, Office, Warehouse)
Proficiency with using CMMS platforms.
Ability to adapt to the use of new software and building systems.
Punctual and must be available after hours as needed for emergencies.
Driven by problem-solving and root cause analysis.
Excellent leadership and team management skills, with the ability to motivate and develop a diverse team.
Strong organizational and time-management abilities, with a focus on prioritization and attention to detail.
