HVAC Assistant Bookkeeper

Job Overview

We are seeking an accurate, detail-oriented HVAC Assistant Bookkeeper to manage our daily financial operations here in Peoria, IL. In this role, you will heavily leverage QuickBooks Desktop to handle essential financial tracking, manage job costing for our projects, and ensure our invoices match our financial books perfectly.

Key Responsibilities

QuickBooks Desktop Management: Maintain clean general ledger records by entering daily transactions, vendor bills, and customer payments directly into QuickBooks Desktop.
Weekly Invoicing: Assist with generating, reviewing, and sending weekly customer invoices to ensure prompt and accurate billing for completed service calls and installations.
Timekeeping Tracking: Review, verify, and log employee daily hours using various timekeeping systems to ensure accurate tracking for payroll and billing purposes.
Accounts Receivable: Process incoming credit card and check payments, apply them to customer accounts, and follow up on outstanding client balances.
Accounts Payable & Job Costing: Match vendor invoices for HVAC equipment and parts with field purchase orders, applying costs to correct project files in QuickBooks Desktop.
Bank Reconciliation: Reconcile daily bank deposits, credit card transactions, and field dispatch software accounts with your QuickBooks ledger.
Reporting Assistance: Help pull monthly profit and loss, accounts aging, and balance sheet reports for management review.

Qualifications

Experience: 2+ years of hands-on bookkeeping experience, specifically working within an HVAC, plumbing, or construction trade environment. Experience handling high-volume billing and invoicing cycles is preferred.
Software Mastery: Advanced proficiency with QuickBooks Desktop is strictly required. High competence with the Microsoft Office Suite (Word, Excel, Outlook) is necessary.
Core Skills: Sharp data entry accuracy, solid understanding of general ledger accounting, and excellent attention to detail.

Benefits & Pay

Pay Rate: $22.00 - $27.00 per hour (based on experience)
Schedule: Full-time, Monday to Friday
Perks: Paid time off (PTO), paid holidays, and a 401(k) retirement plan.
