Job Summary

We are seeking a highly organized Administrative Assistant to join our team! In this vital role, you will be the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to our business and customers alike. Your proactive approach, combined with strong technical skills and excellent communication abilities, will help foster an efficient, welcoming environment. This paid position offers an opportunity to develop your career in office management while making a meaningful impact on our companies’ success.

Responsibilities

Manage face to face operations, including greeting customers and handling phone calls with professionalism and courtesy
Perform some data entry and maintain accurate records using spreadsheets and productivity software such as Microsoft Office and Word processing tools
Assist with office management tasks such as supply inventory, filing, proofreading documents, and keeping us apprised that the office equipment functions properly
Provide customer service support by responding to inquiries promptly via phone or email, ensuring positive client communication and support
Utilize https://www.waveapps.com/ for basic bookkeeping tasks like invoicing or payment processing
Support clerical duties including preparing driver delivery orders, maintaining organized files, building new shipment files, checking shipment arrivals and performing general administrative tasks with attention to detail and much more! Training is a part of the package

Experience

Proven administrative experience in an office environment with a strong background in clerical duties and customer service
Familiarity with office management practices, including calendar coordination and data entry processes
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with strong computer literacy skills
Experience providing excellent phone etiquette in a sometimes fast-paced setting
Bilingual abilities are highly valued to enhance communication with diverse clients and team members, but not required
Some experience with accounting software is a plus
Strong organizational skills combined with effective time management to prioritize tasks efficiently and the ability to direct others with less responsibility
