Full Job Description

Kaiser Trabue Landscape Architecture is a boutique design firm based in Nashville, Tennessee, that specializes in the craft of high-end residential garden design. Co-founded by Mike Kaiser and Clay Trabue, the firm has been a prominent fixture in the regional design scene for over two decades, creating outdoor spaces locally and across the country.

This close-knit, collaborative studio of professionals and licensed landscape architects is currently seeking a highly organized, detail-oriented part-time Office Manager to play an integral role in the day-to-day operations. This position is ideal for a proactive professional who brings a strong foundation in bookkeeping and office administration, takes ownership of the details, and enjoys creating structure behind the scenes. Working closely with the firm’s partners and team, the Office Manager will oversee key financial and administrative functions while helping ensure the office operates efficiently, professionally, and seamlessly.

Important: This is a part-time, in-office position, Monday - Friday, 9am – 1pm (20 hrs/per week)

ROLE & RESPONSIBILITIES

Bookkeeping - Manage day-to-day bookkeeping and financial administrative functions, including accounts payable/receivable and client billing.

Review financial reports and key account activity with Partners
Serve as the primary liaison to the firm’s corporate accountant, including responding to reporting and documentation requests
Manage accounts payable and accounts receivable, including monitoring and reconciling outstanding receivables
Track and reconcile corporate credit card expenses and recurring payments
Compile reimbursable project expenses, including travel and printing costs, and prepare associated client invoices
Maintain the firm’s active project list and track billing-to-date for each project
Prepare and distribute client-facing billing reports and supporting documentation, as needed

Office Administration - Oversee essential administrative functions and help maintain an organized, efficient, and professional office environment.

Maintain corporate contact databases, including clients, architects, builders, vendors, and other professional partners
Organize and maintain personnel, corporate, and project-related records and files
Coordinate and assist with professional licenses, registrations, and renewals
Support Partners with day-to-day administrative and operational needs
Oversee general office operations, including supplies, mail, shipments, deliveries, and overall office appearance
Manage relationships with office vendors and service providers
Coordinate meetings, appointments, and other office logistics, as needed
Assist with special projects and other administrative needs as requested

QUALIFICATIONS

2+ years of experience in bookkeeping, office administration, or a similar operational support role
Working knowledge of bookkeeping principles, including accounts payable/receivable, reconciliations, expense tracking, and client billing
Proficiency in QuickBooks and Microsoft Office; comfort learning and working across various business software and systems
Exceptional organizational skills with strong attention to detail and accuracy
Ability to prioritize responsibilities, manage multiple deadlines, and work independently with minimal oversight
Strong written and verbal communication skills with a professional, service-oriented approach
Sound judgment and discretion when handling confidential financial, personnel, and business information
Proactive, resourceful mindset with a willingness to take ownership and support the needs of a small, collaborative team
Experience in professional services, architecture, design, or similarly project-based environment is a plus
Familiarity with Adobe Creative Suite and/or AutoCAD is a plus, but not required

Pay: $28.00 - $30.00 per hour
