Full Job Description

OVERVIEW
We are a small boutique law firm seeking a dedicated and detail-oriented Legal Assistant/Paralegal to join our legal team. Our firm has a great work-life balance. We pride ourselves on providing unparalleled service to our clients, and the ideal candidate will help us maintain this high standard by ensuring the office runs efficiently and smoothly. The ideal candidate will be responsible for managing office correspondence, assisting with case preparation, and maintaining organized client files. This role is essential to ensuring the efficient operation of our office and maintaining the highest standards of professionalism and client service.

Key Responsibilities

Administrative Support: Manage incoming and outgoing communications, including phone calls, emails, and mail.
Billing Support: Assist with client billing with support from the accounting department. Apply payments in Clio, run pre-bills, make edits before emailing out to clients for payment.
Document Management: Assist in drafting, proofreading, and filing legal documents, correspondence, and motions. Maintain and organize both physical and digital case files, ensuring accuracy and confidentiality.
Case Coordination: Schedule appointments, depositions, and court dates. Remind attorneys of upcoming deadlines.
Client Communication: Serve as a point of contact for clients, witnesses, and court officials, handling inquiries with discretion and professionalism.
Legal Research: Conduct basic legal and factual research under the supervision of an attorney or paralegal.

Qualifications and Skills

Education: An Associate's or Bachelor's degree in legal studies or a related field is preferred. A legal assistant or paralegal certification is a plus.
Experience: Previous experience in a law firm or legal setting is highly desirable, with duties including litigation support and general office administration will be considered in lieu of degree.
Technical Proficiency: Strong command of Microsoft Office Suite (Word, Excel, Outlook) and experience with legal software, such as case management systems (e.g., Clio), is o required.
Communication: Excellent verbal and written communication skills, with a strong grasp of grammar and spelling.
Organizational Abilities: Exceptional organizational skills and an eye for detail, with the ability to manage multiple priorities and deadlines effectively.
Confidentiality: A strong understanding of and respect for client confidentiality is essential.
