Position Summary
The Assistant Program Director supports the leadership, coordination, and expansion of Southeast Iowa RSVP, an AmeriCorps Seniors program sponsored by The Fellowship Cup. Southeast Iowa RSVP connects adults age 55 and older with meaningful volunteer opportunities that meet critical community needs across Henry, Des Moines, and Louisa Counties.
This position is designed to provide both operational support and program continuity. The Assistant Program Director will learn the duties of the RSVP Program Director, assist with those duties as needed, act in the Director capacity when necessary, and support day-to-day coordination functions, including volunteer recruitment, intake, placement, ride coordination, data entry, volunteer station communication, and community outreach.
The ideal candidate will be compassionate, organized, detail-oriented, comfortable working with older adults and community partners, and able to balance both daily program needs and larger program goals.
Essential Duties and Responsibilities
Program Leadership and Director Support
- Assist the RSVP Program Director with the daily management, coordination, and expansion of Southeast Iowa RSVP.
- Learn and support all major Director-level responsibilities, including grant compliance, reporting, budget monitoring, volunteer station development, advisory council coordination, and program planning.
- Act in the capacity of the RSVP Program Director when needed due to absence, scheduling conflicts, transition needs, or other program needs.
- Support implementation of the AmeriCorps Seniors RSVP grant, including performance measures, work plans, volunteer targets, and required documentation.
- Assist with the development and maintenance of policies, procedures, standard operating procedures, forms, volunteer files, station files, and program documentation.
- Support preparation for AmeriCorps Seniors monitoring, reporting, and compliance review.
- Assist with tracking program progress toward grant goals and community impact outcomes.
Volunteer Recruitment, Intake, and Placement
- Recruit adults age 55 and older to serve as RSVP volunteers across Henry, Des Moines, and Louisa Counties.
- Conduct outreach through community events, presentations, local organizations, churches, senior centers, libraries, civic groups, media, and other community networks.
- Assist with volunteer intake, screening, orientation, placement, and ongoing support.
- Match volunteers with opportunities that fit their skills, interests, availability, location, and comfort level.
- Maintain regular communication with volunteers to encourage retention, address concerns, and celebrate impact.
- Assist with volunteer recognition, newsletters, social media features, appreciation events, and milestone acknowledgments.
Volunteer Station and Community Partner Support
- Assist with recruiting, developing, and maintaining volunteer stations throughout the three-county service area.
- Build relationships with nonprofit organizations, schools, healthcare partners, food pantries, meal sites, local government, faith communities, civic groups, and other community partners.
- Help complete and maintain Memorandum of Understanding, station agreements, site visit documentation, station supervisor information, and related compliance materials.
- Provide orientation and support to volunteer station supervisors regarding RSVP expectations, volunteer supervision, reporting, safety, confidentiality, nondisplacement, and allowable service activities.
- Conduct site visits and check-ins with volunteer stations as assigned.
- Assist with identifying potential community access points in Des Moines County and Louisa County.
Medical Transportation and Direct Coordination Support
- Assist with the coordination of medical transportation services for older adults and individuals with disabilities.
- Communicate with clients, volunteer drivers, and partner agencies as needed.
- Schedule rides, track mileage, document volunteer hours, and ensure accurate ride records.
- Support use of transportation coordination software, volunteer databases, spreadsheets, and other tracking systems.
- Help ensure transportation services are delivered safely, compassionately, and in accordance with program policies.
Data, Reporting, and Compliance
- Enter and maintain accurate volunteer, station, hour, mileage, outcome, and service data.
- Assist with monthly, quarterly, and annual reporting required by AmeriCorps Seniors, Volunteer Iowa, The Fellowship Cup, and other funders or partners.
- Maintain confidentiality of volunteer, client, and program information.
- Assist with documentation related to National Service Criminal History Checks and required background check processes.
- Support compliance with AmeriCorps Seniors regulations, federal grant requirements, The Fellowship Cup policies, and RSVP procedures.
Outreach, Communication, and Public Relations
- Represent Southeast Iowa RSVP and The Fellowship Cup professionally in the community.
- Assist with marketing, social media, flyers, newsletters, volunteer recruitment materials, press releases, and community presentations.
- Participate in community meetings, outreach events, volunteer fairs, and partner meetings.
- Help tell the story of RSVP’s impact through volunteer stories, service data, photos, and community updates.
Other Duties
- Attend required AmeriCorps Seniors trainings, webinars, staff meetings, and professional development opportunities.
- Assist with special events, volunteer recognition, advisory council meetings, and community engagement activities.
- Provide support to the RSVP Program Coordinator as needed.
- Perform other duties as assigned by the RSVP Program Director or Executive Director.
Pay: $34,000.00 - $36,000.00 per year
