Job Overview

We are seeking a dynamic and highly organized Medical Office Coordinator / Office Manager to lead our healthcare practice with energy and precision. In this pivotal role, you will oversee daily administrative operations, manage clinical staff, ensure compliance with healthcare regulations, and foster a welcoming environment for patients. Your leadership will drive efficiency, enhance patient care, and maintain the smooth functioning of our medical facility. This position offers an exciting opportunity for a motivated professional to make a meaningful impact in a fast-paced healthcare setting.

Responsibilities

Supervise and coordinate the daily operations of the medical office, including scheduling, patient flow, and administrative support.
Manage billing processes, medical records, and electronic health records (EHR) systems such as Eaglesoft and Dentrix to ensure accuracy and compliance with HIPAA regulations.
Oversee financial management tasks including budgeting, medical billing, and fiscal oversight to optimize practice profitability.
Lead human resources functions by recruiting, onboarding, training staff, and managing performance evaluations while fostering a positive team environment.
Ensure adherence to healthcare management standards, health regulation policies, JCAHO accreditation requirements, and compliance protocols.
Facilitate effective communication among healthcare providers, staff, patients, and external partners to promote excellent customer service.
Maintain up-to-date knowledge of managed care policies, utilization management practices, and healthcare legislation affecting clinic operations.
Oversee clinic operations related to dental or medical specialties with experience in acute or critical care preferred.
Implement office management best practices using Microsoft Office tools to streamline workflows and documentation processes.

Experience

Proven experience in medical office management or healthcare practice management within a clinical setting.
Demonstrated supervisory experience managing healthcare teams or administrative staff in a busy practice environment.
Extensive familiarity with EMR/EHR systems such as Eaglesoft or Dentrix; proficiency in managing patient management software is essential.
Strong background in medical billing, financial management, budgeting, and compliance with health regulation policies including HIPAA standards.
Knowledge of medical terminology, medical records management, and electronic health records (EHR) systems is required.
Prior experience working in dental clinics or healthcare facilities providing acute or critical care is highly desirable.
Excellent managerial communication skills coupled with customer service expertise to foster team collaboration and patient satisfaction.
