Full Job Description

Key Goals & Objectives

● Be an effective team player within the sales team of The Mansion at Glen Cove (“GCM”) and with other team members in catering, guest services, food and beverage, and other key areas within the hotel

● Coordinate services for clients and in-house guest and, respond to client calls and special requests and obtain final details, dates, times, and hotel room and meeting room requirements, maintain accurate and updated information

● Perform administrative duties such as collect data, update databases, and complete departmental monthly reports, resolve requests and/or complaints to the satisfaction of the guest; inform supervisor of major problems, complaints, disturbances or dissatisfied clients, promote teamwork and quality service through daily communication and coordination with other departments

● Responsible for the distribution of details to other departments such as VIP amenities, special requests, or other service needs or special handling, regularly follow-up to ensure set-up requirements meet client needs, perform other duties as assigned including but not limited to guest room tours, property tours, special guest requests, maintaining calendars, answering phones and routing to appropriate employees within the hotel and handling of online and offline communication

Responsibilities

● Administer group events including inputting group blocks for new and current clients, sending back confirmation numbers and contracts to clients and communicating with them through the end of their stay

● Along with the Director of Sales and Marketing, manage difficult or emotional guest situations. Respond promptly to guest needs, request for service and assistance

● Handle the processing of all administrative functions in the department with accuracy and in a timely manner

● Assist in the preparation and organizing of promotional material or events

● Ensure adherence to hotel policies and procedures

● Offer professional, engaging and prompt service to clients consistently

● Coordinate and support all aspects of sales activities including but not limited to taking initial inquirers, proposals, and contracts, blocking space, etc.

● Provide administrative group support, such as input of accounts, bookings and activities into GCM sales and catering systems

● Process proposals and contracts required

● Liaise with clients in absence of Director of Sales and Marketing

● Maintain an accurate supply of all sales collateral

● Coordinate with other departments within the hotel to ensure the distribution of pertinent information, such as booking recaps, contracts, site inspection forms, memos, etc. and maintain an orderly working environment

● Prepare collateral and amenities as requested by Director of Sales and Marketing

● Assist in the creation of post-event evaluations, including meeting notes and updates

● Maintain accurate and up-to-date records of all sales and transactions

● Participate in weekly sales and BEO meetings

Requirements and Experiences

● Bachelor’s degree in business, tourism, hospitality preferred

● Minimum of one year of experience in events, catering, hospitality and/or sales

● Hospitality, travel, luxury business experience preferred

● Strong analytical skills

● Excellent in time management and organizational skills

● Excellent interpersonal, written and oral communication skills

● Ability to work under pressure in a fast-paced environment with maximum efficiency, accuracy and full attention to detail

● Ability to solve problems creatively and implement strategies/solutions effectively

● Self-motivator with a team player spirit

● Ability to make sound judgements and exercise confidentiality

● Ability to build immediate credibility with new/existing customers

● Basic knowledge in social media networking

● Basic mathematical skills for simple calculations

● Strong administrative and computer skills with proficiency in Google applications (Gmail, docs, sheets, slides, hangouts, etc.) and Microsoft Office Suite

● Must be able to work different shifts, including holidays, nights and weekends

● Must be able to work overtime as required

● Polished and professional presence
