WHAT YOU WILL DO:

The Administrative Coordinator provides operational support for Opportunity Council’s Community Services (CS) Department and including direct support to the CS leadership team throughout grant and contract lifecycles, maintenance of departmental reporting systems, training coordination. In addition, the Administrative Coordinator provides direct supervision for the department’s administrative staff and coordinates new employee onboarding. The Administrative Coordinator provides special project support, including supervision and coordination for Community Services programs as assigned.

WORK SCHEDULE:

Monday through Friday, 8am to 5pm. This is an in-office position and does not offer remote or hybrid work options.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

Responsible for preparing, drafting, and finalizing community partner organization and contractor agreements in advance of Director review and execution. Agreements include service contracts, subcontracts, and memoranda of understanding.
Supports department and managers with grant, contract, and partner agreement lifecycle management, including monitoring, compliance, partner invoice tracking, and preparation for renewals.
Develops, maintains, and completes compliance reporting across multiple programs and following varied requirements, systems, and templates.
Conducts data analysis and grant reconciling from departmental databases, spreadsheets, and other tracking tools and generates reports, tables, and charts as assigned.
Coordinates with department managers, supervisors, and staff to research and coordinate department’s training needs. Coordinates across departments to organize professional development opportunities for direct service staff training needs.
Develops and delivers comprehensive onboarding for new department employees. Provides direct supervision and related responsibilities for department administrative assistant and program staff as assigned.
Coordinates department client service programs as assigned.
Tracks department equipment and places orders to meet department needs as identified.
Facilitates dissemination and implementation of policies and procedures.
Identifies and builds process improvements for the department.
Leads building moves and office changes.

OUR IDEAL CANDIDATE WILL HAVE:

Minimum four-year degree or equivalent education/experience.
Experience relevant to essential functions in data science or statistics.
Experience working in non-profit or similar organizations.
Minimum intermediate knowledge and experience with Microsoft Office, including Excel.
