Pippin CPA, LLC is looking for an exceptional Client Services & Workflow Manager to become a key part of our team.
This isn't simply a receptionist position. In many ways, this person is our Director of First Impressions and the air traffic controller of our office. You'll be the first person many of our clients see or speak with, while also helping make sure work gets to the right people, deadlines stay visible, and important things don't fall through the cracks.
We're a CPA firm, so there are times of the year when things move fast. We're looking for someone who can have three things happening at once, remain calm, figure out what needs attention first, and still make the client standing in front of them feel like they're the most important person in the room.

What You'll DoClient Service & Front Office
You'll serve as a primary point of contact for our clients and visitors. Responsibilities include:
- Greeting clients and creating a welcoming, professional experience
- Answering and directing telephone calls
- Receiving client documents and information
- Monitoring and responding to incoming messages from multiple platforms
- Keeping client traffic moving efficiently
- Communicating professionally with clients regarding the status of their work
- Handling difficult or impatient clients with empathy and composure
- Maintaining appropriate professional boundaries and avoiding giving tax or accounting advice when a question needs to be referred to professional staff
Workflow & Project Management
A major part of this position happens behind the scenes.
You'll help keep work moving through the firm by:
- Creating jobs in our project management system as work is received
- Assigning work to the appropriate team members
- Communicating responsibilities and deadlines clearly
- Tracking projects and upcoming deadlines
- Following up with team members on outstanding assignments
- Identifying urgent and time-sensitive matters
- Helping ensure incoming work is visible, assigned and progressing
- Tracking down potential oversights before they become problems
- Following projects through to completion
Office Administration & Leadership
You'll also play an important role in the day-to-day operation of the firm, including:
- Coordinating office procedures and administrative activities
- Helping establish and maintain efficient workflows
- Working collaboratively with professional and administrative staff
- Providing clear follow-up and accountability regarding assigned tasks
- Resolving routine issues as they arise
- Identifying ways to improve how the office operates
Experience & Qualifications
Previous experience in office administration, project coordination, client service or a similar role is strongly preferred.
Experience in an accounting firm, bookkeeping, tax preparation or another professional-services environment is a plus, but accounting expertise is not the most important thing we're looking for.
We place a high value on exceptional communication, organization, and a willingness to learn, and we're happy to teach the accounting-specific aspects of the role to the right person.
Comfort with computers and learning new software is required.

We're a locally owned CPA firm in Mountain Home, and we believe people do their best work when they're trusted, appreciated and able to enjoy the people they work with.
Our business is seasonal. Tax season can be demanding, and our team works harder during our busiest months. In exchange, we intentionally provide greater flexibility during slower periods, including Fridays off during the summer.
We believe in working hard when the work requires it—and enjoying some of the benefits when things slow down.
Compensation
Starting compensation: approximately $45,000 per year, depending on experience and qualifications.

We're not looking for someone who simply wants to sit at a front desk and answer the telephone.
