Job Overview

We are seeking an energetic and detail-oriented Front Desk Associate to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily activities. Your positive attitude and organizational skills will help create a professional and friendly environment for clients, visitors, and team members alike. This paid position offers an exciting opportunity to develop your office management skills while contributing to a dynamic team.

Responsibilities

*Customer Service

· Greet customers promptly with a friendly and professional attitude.

· Answer incoming phone calls, texts, emails, and social media inquiries.

· Provide accurate pricing and service information for window tint, paint protection film, ceramic coatings, and architectural film.

· Schedule appointments and manage the daily calendar.

· Follow up on customer quotes, estimate requests, and unscheduled leads.

*Front Office & Administrative Duties

· Create and update customer records, work orders, proposals, and invoices.

· Collect payments and accurately document payment methods and processing fees when applicable.

· Assist with warranty registrations, customer documentation, and filing.

· Maintain an organized reception area and monitor office supplies.

· Help with daily opening and closing procedures.

*Shop Coordination

· Coordinate customer vehicle drop-offs and pickups.

· Communicate schedule changes and customer requests to technicians.

· Keep customers informed about job status and expected completion times.

· Help maintain an efficient workflow between the front office and installation team.

*Sales & Customer Education

· Explain available film packages, product performance, warranty coverage, and aftercare instructions.

· Recommend services based on the customer’s vehicle, goals, budget, and preferences.

· Identify appropriate opportunities to recommend add-on services without using high-pressure sales tactics.

*Required Qualifications

· Excellent verbal and written communication skills.

· Friendly, professional, and customer-focused attitude.

· Strong organization, time-management, and multitasking abilities.

· Ability to stay calm and accurate in a busy, fast-paced environment.

· Basic computer skills and the ability to learn scheduling, CRM, and point-of-sale software.

· Dependable attendance, punctuality, and reliable transportation.

· Ability to work well with a team and accept coaching.

*Preferred Qualifications

· Previous receptionist, office administration, retail, or customer service experience.

· Previous sales experience.

· Automotive industry experience or an interest in learning about vehicles and window film.

· Experience with scheduling software, CRM systems, payment processing, or invoicing.

*Physical Requirements

· Ability to sit or stand for extended periods.

· Ability to walk between the office and shop throughout the day.

· Ability to occasionally lift and carry up to 25 pounds.
