Job Summary

We are seeking an energetic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. This vital role involves coordinating administrative tasks, managing communication channels, supporting staff, and maintaining efficient office procedures. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and a passion for creating a productive workplace. Your leadership will help foster a welcoming atmosphere while ensuring all office functions operate seamlessly.

Responsibilities

Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
Oversee office supplies inventory, procurement, and filing systems to maintain organization and efficiency
Coordinate calendar management, scheduling meetings, appointments, and conference rooms for staff and clients
Utilize productivity software such as Microsoft Office (Word, Excel, Outlook) and spreadsheets to prepare reports, documents, and presentations
Handle data entry tasks with accuracy using computer literacy skills to update databases and maintain records
Support client communication efforts by providing excellent customer service and timely follow-up on inquiries
Assist with clerical duties such as proofreading documents, managing correspondence, and maintaining filing systems

Experience

Proven office management or administrative experience in a fast-paced environment
Strong proficiency with Microsoft Office suite including Word processing, spreadsheets, and calendar management tools
Experience with QuickBooks or similar accounting software is preferred
Excellent organizational skills with the ability to multitask efficiently and prioritize tasks effectively
Bilingual abilities are highly desirable to support diverse client interactions
Demonstrated ability to handle phone communication professionally and manage multi-line phone systems
Personal assistant experience or familiarity with front desk operations is a plus
