Full Job Description

We are currently seeking a professional and detail-oriented Client Services & Office Administrator to join our team. This role is primarily focused on answering incoming calls from new and existing clients, helping resolve client needs, and ensuring an excellent customer experience. to supporting our customers. In addition, you'll help keep our office running smoothly by managing administrative tasks, maintaining accurate records, and assisting with daily office operations.

Responsibilities:

Serve as the first point of contact by answering incoming phone calls in a professional and courteous manner.
Assist new and existing clients by addressing questions, resolving concerns, and directing them to the appropriate services.
Manage customer payments, including processing transactions, maintaining accurate records, and resolving any payment issues.
Handle invoicing tasks, ensuring timely and accurate billing for services provided.
Assist with processing and accurately recording company expenses
Perform administrative duties such as managing emails, website inquiries and maintaining organized records.
Assist management with special projects or assigned tasks outside normal office responsibilities.
Maintain office supplies inventory and ensure the office environment is organized and professional.
Run occasional local business errands as needed

Requirements:

Proven experience in customer service, office administration, or a similar role.
Strong phone presence and excellent customer service skills.
Ability to handle client needs with professionalism, empathy, and efficiency.
Strong organizational and multitasking abilities, with the flexibility to assist in multiple areas as needed.
Proficiency with computers and office software; familiarity with marketing tools is a plus.
Knowledge of basic accounting principles is helpful.
Ability to handle confidential information with discretion.
Excellent communication and interpersonal skills, with the ability to build positive client relationships.
