Overview

Join our dynamic healthcare team as a Clinic Front Desk Associate, where you will be the welcoming face and efficient coordinator for our busy medical practice. In this vital role, you’ll manage patient interactions, handle administrative tasks with precision, and ensure seamless communication between patients, providers, and insurance companies. Your energetic approach and attention to detail will help create a positive experience for every patient while supporting the smooth operation of our clinic. This paid position offers an exciting opportunity to develop your skills in medical administrative support within a fast-paced healthcare environment.

Responsibilities

Greet patients warmly upon arrival, verify their appointment details, and assist with check-in procedures using Electronic Health Record (EHR) systems such as Epic, Meditech, or eClinicalWorks
Schedule appointments efficiently using medical office management software and coordinate follow-up care plans
Collect and process patient payments and insurance information, including medical billing and coding using CPT, ICD-9, ICD-10 codes, and Medicare guidelines
Review and update medical records ensuring accuracy and compliance with HIPAA confidentiality policies
Manage multi-line phone systems with professional phone etiquette to answer inquiries, schedule appointments, and direct calls appropriately
Assist with intake procedures, including documentation review and data entry using Microsoft Office tools and other EMR/EHR platforms like Athenahealth or Health Information Management systems
Maintain a clean, organized front desk area while managing filing systems for medical records and supporting clerical tasks such as typing reports and handling office correspondence

Requirements

Proven experience in a medical office setting or healthcare environment, preferably in clinics or dental practices
Strong knowledge of health insurance processes, medical billing, coding (ICD-10, CPT), and clinical confidentiality policies
Familiarity with EMR/EHR systems such as Epic, Meditech, Athenahealth, eClinicalWorks or similar platforms
Excellent customer service skills with the ability to communicate clearly over the phone and in person
Proficiency in computer skills including Microsoft Office Suite (Word, Excel) and data entry with 10 key typing skills
Ability to handle multiple priorities efficiently in a fast-paced environment while maintaining professionalism
Bilingual abilities are highly desirable to serve diverse patient populations
Knowledge of health information management practices related to patient records and clinical documentation review
Prior clinic or healthcare administrative experience is preferred; dental clinic experience is a plus
