Full Job Description

Position/Title: AP/AR Coordinator
Organization: The Refuge Center for Counseling
Category: Part-time (24 hours per week), Non-exempt
Location: Franklin Office
Reports to: Associate Director

Purpose of the Position: Reporting to the Associate Director, and working closely with the Departmental Directors, The AP/AR Coordinator supports the financial operations and sustainability of The Refuge Center for Counseling through day-to-day accounting support, accounts payable and receivable processing, EHR billing coordination, monthly reconciliations, contract therapist payments, and accurate financial recordkeeping. This role helps ensure organized, timely, and audit-ready financial processes while supporting the mission and integrity of the organization.

Specific Duties

Accounts Payable (AP)

Process vendor invoices, reimbursements, contractor payments, and other outgoing payments accurately and timely
Review invoices and payment requests for approvals, coding accuracy, and supporting documentation and obtain required approvals prior to payment
Maintain vendor and contractor records including W-9s, agreements, and payment documentation
Coordinate payment schedules, assist with cash flow tracking, and support communication regarding payment questions or discrepancies
Monitor recurring expenses and research unusual variances as needed
Maintain organized, audit-ready AP records and documentation

Accounts Receivable (AR), Deposits & Revenue Processing

Generate and process invoices related to grants, partnerships, contractors, sponsorships, donors, and other receivable activities
Track incoming payments, apply payments within accounting and related systems, and follow up on outstanding balances
Prepare, reconcile, and process organizational deposits in accordance with internal procedures for secure payment handling
Maintain organized receivable records and supporting documentation
Communicate professionally with partners, donors, vendors, and staff regarding billing questions or discrepancies

EHR Billing, Reconciliations & Financial Systems

Support billing functions within the EHR system including claims creation, charge posting, payment application, and reconciliation activities
Reconcile financial activity between the EHR, accounting system, donor platform, and merchant processing systems
Identify, research, and resolve discrepancies across systems in collaboration with clinical, administrative, development, and leadership staff
Assist in maintaining accurate workflows, documentation, and procedures related to billing and financial reconciliations

Donor & Event Financial Support

Reconcile donations, pledges, sponsorships, grants, and event-related revenue between donor and accounting systems
Support accurate tracking and coding of restricted and unrestricted contributions
Assist development staff with financial reconciliation and reporting for fundraising events and campaigns

General Accounting & Financial Support

Assist with month-end close processes, financial reporting, reconciliations, and maintenance of accurate audit-ready financial records and back up
Complete monthly reconciles for credit card statements, bank statements and merchant statements while supporting compliance with financial controls and policies
Collaborate with outsourced financial partners, auditors, and leadership to support audit preparation, nonprofit reporting, and operational finance needs
Create and file required annual 1099s
Identify opportunities for operational efficiencies and process improvements
Support the Associate Director with accounting, reporting, compliance, and operational finance projects as needed

Other Duties

Perform additional duties as assigned in support of the mission, vision, and operations of The Refuge Center for Counseling

QUALIFICATIONS

Degree in Accounting or Finance preferred.
Non-profit accounting or bookkeeping experience required.
QuickBooks knowledge preferred
Excellent communication skills, both written and verbal
Working knowledge of GAAP
