Full Job Description

Location: Rutherford County, TN (In-Person)

Position Type: Part-Time (30 hours/week)

Schedule: Monday – Friday availability required

Role Overview

Hutch Serves LLC is seeking a highly motivated, proactive, and detail-driven Case Manager to join our team. This role is the operational backbone of our legal services, requiring a blend of customer service, organizational skills, and administrative task management in a fast-paced environment.

You will manage legal cases from intake to close—ensuring efficiency, clear client communication, and timely follow-through. The ideal candidate is a self-starter who thrives on initiative, possesses excellent problem-solving skills, and wants to grow this opportunity into a long-term position.

Key Responsibilities

Case & Workflow Management

Job Intake & Setup: Prepare incoming intake jobs, accurately input data, and efficiently assign new cases into the company system.
Continuous Tracking: Conduct ongoing status checks on all active jobs to ensure deadlines are met and legal logistics move smoothly.
System Maintenance: Keep all internal databases, files, and tracking systems meticulously clean, updated, and moving forward.
Affidavits & Legal Prep: Prepare accurate affidavits of service and related legal documents.

Communications & Client Relations

Inbox Management: Act as the primary manager of the main company email account, ensuring rapid triage and professional responses.
Customer Service: Provide exceptional customer service, representing Hutch Serves LLC with high professionalism during all client interactions. Serve as the central point of contact to coordinate seamlessly between clients and process servers.

Financial Administration

Invoicing: Accurately create, send, and track client invoices, monitoring account statuses to ensure timely payment.

Qualifications & Skills

Required:

Education & Age: High school diploma or equivalent; must be at least 21 years of age.
Location: Must reside in or near Rutherford County for daily in-person operations.
High Initiative: A proactive worker who thrives in structured workflows but can independently navigate a high-paced environment.
Detail-Oriented: Exceptional organizational skills with a zero-mistake mindset for legal documentation and data entry.
Tech-Savvy: Strong computer skills, including advanced proficiency in Google Workspace / G Suite (Docs, Sheets, Gmail, Drive).

Preferred Experience

Knowledge in the following- Quickbooks, Docusign, Airtable
Prior experience in the legal field
Active Notary Licensure
