Full Job Description

The Front Office Administrator plays a key role in shaping the experience of employees, visitors, and callers. This position is responsible for welcoming and directing guests, managing incoming communications, and providing administrative support to office staff. As part of the Human Resources team, this role also assists employees with inquiries related to payroll, staffing, benefits, and company policies. A high level of professionalism, confidentiality, attention to detail, and adaptability is required.

Essential Functions

Greet and direct visitors to appropriate staff, conference rooms, or offices; maintain accurate visitor logs.
Answer and route incoming calls, provide information, and take messages as needed.
Perform general administrative duties such as copying, mailing, and distributing correspondence.
Serve as a resource for employees by assisting with access needs, forms, and system navigation.
Support employee communication, engagement, and recognition initiatives.
Assist in administering and communicating company policies and procedures.
Coordinate shipping and delivery services (e.g., express mail carriers).
Respond to employment verification requests in coordination with payroll when necessary.
Maintain accurate and confidential employee records in compliance with HR policies.
Prepare and edit documents including correspondence, reports, and internal communications.
Schedule meetings, appointments, and coordinate related logistics such as meals or materials.
Manage conference room schedules.
Maintain employee access systems, including issuing and deactivating badges or key cards.
Order, stock, and distribute office supplies and business materials.
Coordinate general office maintenance needs.
Provide administrative support to leadership and assist with special projects.
Support onboarding processes, including preparing new hire materials and coordinating orientation activities.
Maintain availability of employee forms and internal documents.
Assist with updates to internal communication platforms and materials.
Coordinate uniform or work apparel requests and maintain related records.
Support planning of company events and initiatives.
Maintain a clean, organized, and safe reception and office area.
Participate in continuous improvement or operational excellence initiatives.
Perform additional duties as assigned.

Knowledge, Skills & Abilities

High school diploma or equivalent required; additional education preferred.
2–5 years of experience in a professional administrative or HR support role; HR experience preferred.
Bilingual skills are a plus.
Strong communication skills, both written and verbal.
Excellent reliability, organization, and attention to detail.
Proficiency with Microsoft Office applications (Outlook, Word, Excel, PowerPoint, Teams); ability to learn new systems.
Ability to work both independently and collaboratively.
Strong problem-solving skills and adaptability in a fast-paced environment.
Professional demeanor with the ability to interact effectively at all levels of an organization.
Ability to follow and communicate instructions in English.
Basic graphic design skills are a plus.

Working Conditions / Physical Requirements

Primarily office-based with occasional exposure to an operational environment.
May involve exposure to varying temperatures, dust, or allergens.
Ability to occasionally lift up to 20 pounds and perform light physical tasks.
Requires extended periods of sitting, with occasional standing, walking, bending, and reaching.
Ability to navigate stairs or ramps as needed.
