Salary Range: $70,304 annually
Position Summary: The Assistant Director of Activities supports the Director of Activities in planning, coordinating, and executing the full range of student activities and school events that build community and school spirit at Santa Margarita Catholic High School. Working closely with Associated Student Body (ASB) students, and class councils, the Assistant Director provides administrative, logistical, and creative support for dances, assemblies, fundraisers, and signature all-school and senior events throughout the year. Additionally, they oversee moderators, coaches and budgets for student clubs and other co-curricular programs on campus. This position requires a highly organized, collaborative professional who can manage multiple events simultaneously, work flexible hours including evenings and weekends, and contribute to the school's Catholic mission and charism of Caritas Christi.
Essential Functions: Because all Santa Margarita Catholic High School employees represent the Roman Catholic Church, they are expected to conduct themselves according to the goals and mission of the Church in performing their work.
- Assist with advisor duties for Associated Student Body (ASB).
- Keep an updated list and contact information of all ASB Officers and at-large members.
- Oversee student clubs and student club moderators. Keep a list of approved campus clubs and moderators. Provide club interest sheets to students and provide information about clubs to students who inquire. Direct moderators on responsibilities and student club procedures.
- Manage Activities/ASB fundraisers.
- Assist with and attend major student events: Welcome Dance, Socials, Homecoming Game and Dance, Senior Cruise, Winter Formal, Spring Dance, Prom, Grad Night, ASB Camp, Lunchtime Activities/Events, Officer and Court Elections, Class activities, School Rallies, Spirit Weeks, Red Ribbon Week, Every 15 Minutes, Say Something Week, SOARientation.
- Assist with and attend all-school events: Blue and Gold, Eagle Classic Golf Tournament, Grandparents Day, and Christmas Production.
- Assist with and attend Senior Class activities: Senior Cap and Gowns/Announcements, Senior Booklet, Senior Cruise, End-of-Year Lunches, Yearbook Signing Luncheon, Graduation Practice, Baccalaureate Mass (in conjunction with Campus Ministry), Graduation Ceremony and Grad Night.
- Oversee the Senior Class Council and work with the Alumni Office to commission a Senior Gift.
- Assist with planning and executing all school assemblies.
- Manage Activities online stores and RSVP pages.
- Assist with and attend Mass or other events during which Junior Class Rings will be distributed.
- Assist with special projects, including: Back to School Night, Faculty/Staff Appreciation, Fall Open House, Winter Open House, Incoming Freshmen Scheduling Night and Club Rush.
- Create marketing and promotional material including tickets/bids, flyers, presentations, slideshow/videos for school/student events in a format for publishing on ETV, website, and print.
- Assist with compiling information and completion of Graduation and Baccalaureate Mass programs, printed, and digital.
- Schedule and organize student transportation for athletic events (rooter bus, field trips, etc.)
- Oversee Mock Trial, Debate, Equestrian, Surfing, Boys Beach Volleyball, Roller Hockey, and Esports moderators/head coaches and responsibilities.
- Develop and maintain budgets for Mock Trial, Speech and Debate, Equestrian, Roller Hockey, Surf, Boys Beach Volleyball, and Esports.
- Support other school programs under the Activities Department, including Ice Hockey, Robotics, and Yearbook.
- Manage field trip requests for Activities (including Eagle Pack, retreats, and team trips) and arrange for necessary/applicable logistics including ground/air/rental transportation, lodging and meals, as directed.
- Draft and submit purchase order, check request, credit card request, and related forms.
- Support ASB in delivering student and fan experiences for SMCHS sporting events; including game-day promotions, performances, and giveaways
- Oversee/program Activities, ASB and related media sources (i.e., social media, school webpages, Campus Life Teams, etc.) to promote school/student events.
- Coordinate elections and surveys.
- Draft and publish seating charts.
- Perform general clerical and administrative duties, as needed, including:
- Answering phone calls and email inquiries to the Activities Department.
- Maintain current calendars, contact information, and schedules as directed.
- Maintain server/online files.
- Compile information for submission to school publications, including Eagle Update and Annual Report.
- Oversee organization of Activities storage areas and material/supply inventory.
- Oversee organization of ASB room.
- Supervise student aides.
- Procure Diocese insurance for off-campus activities/events and school trips.
- Coordinate department travel arrangements as directed.
- Assist and complete other duties as assigned by the Activities Director and Assistant Principal, Campus Life when needed.

Qualifications/Experience:
- Bachelor's degree is required.
- Two or more years of experience in overseeing school teams and programs, event coordination, school activities, or a related field preferred.
- Strong organizational and project management skills, with the ability to manage multiple events and deadlines simultaneously.
- Excellent written and verbal communication and interpersonal skills.
- Proficiency with technology, including Microsoft Office, social media platforms, and digital design/presentation tools.
- Ability to work collaboratively with students, staff, parents, and outside vendors.
- Flexibility to work evenings, weekends, and after-school events as required.
- A valid California driver's license and a clean driving record.

- Familiarity with Artificial Intelligence (AI) and experience using it appropriately as a tool in academic/school and event planning environments is a plus.
Work Schedule: Full-time, 12-month position with benefits as outlined in the Employee Handbook. Daytime working hours are 7:30am to 4:00pm. Evening, weekend and after-school events are frequently required.
Physical Requirements: Works extensively in an office environment, sitting and standing for prolonged periods of time, requiring repetitive computer and telephone use. While performing the duties of this job, the employee is frequently required to sit, stand, walk, climb stairs, reach with hands and arms, use hand and eye coordination, handle or feel objects, and communicate effectively through talking and hearing. The employee is regularly required to bend, kneel, and reach, and occasionally stoop, crouch, or crawl. This position requires physical stamina to travel, including the ability to operate a school vehicle or van, and the ability to work both indoor and outdoor environments. The employee must regularly lift and/or move up to 20 pounds and occasionally lift and/or move up to 50 pounds.
